The Role
The Administrator supports the effective delivery of Safe Space Housing services by ensuring that all records, referral processing, property accounts, and compliance documentation are maintained to the highest standards. You will play a vital role in meeting local commissioning and contractual requirements, ensuring our operations run smoothly so our frontline staff can focus on changing lives.
Key Responsibilities
Property & Utility Management:
Undertake all property management administrative duties, including setting up and managing utilities, council tax online, and other property-related accounts.
Administration & Compliance:
Maintain accurate service user records and ensure all documentation meets audit standards. Ensure GDPR and confidentiality requirements are strictly followed.
Referrals & Occupancy Support:
Log and track referrals received via email, ensuring all eligibility documentation is present before move-ins and maintaining up-to-date occupancy and void records.
Financial Admin:
Support the monitoring of service charges and invoices, ensuring financial records related to housing are meticulously kept.
Reporting & Monitoring:
Assist in the preparation of monitoring returns and internal reports, maintaining databases that track service user outcomes and property status.
Communication & Coordination:
Act as a central point of contact for internal queries and liaise with external agencies for information requests.
Key Requirements
Organisation:
Strong administrative and organisational skills with the ability to manage multiple tasks.
Attention to Detail:
Excellent precision in record-keeping--you understand that small details are critical for compliance and audit.
Confidentiality:
Experience working with sensitive and confidential information, ideally within a social or housing context.
IT Proficiency:
Good IT skills (Microsoft Office or equivalent) and comfort using online portals for account management (utilities, council tax, etc.).
Communication:
Effective communication skills to work collaboratively across management and support teams.
