AVRIO - Administrator Position



:



AVRIO Environmental Management is a turnkey environmental solutions organisation providing environmental management and consulting to a range of organisations throughout Ireland and the UK. As a result of continued business growth, the organisation is seeking a full-time administrator to join the growing team. The position will involve office-based tasks and responsibilities to ensure the smooth running of our business.

The Candidate & Role:



The successful candidate will play a key role in providing administrative support to the team. This full-time position entails carrying out typical office responsibilities, involving tasks such as updating records, ensuring the maintenance and revision of office filing systems, scanning documents, handling phone calls, and aiding the organisation of the team by fulfilling tasks assigned by them.

Key Responsibilities:



Maintaining records of incoming and outgoing documents and communications. Recording and tracking expenses, and processing reimbursements. Maintaining physical and digital files, ensuring documents are well-organized and easily accessible. Check and review employee timesheets to ensure accuracy, completeness, and compliance with company policies. Maintain and update company vehicle records, ensuring MOT, road tax, and servicing are current and compliant. Maintain accurate HR system records, ensuring staff holidays, TOIL etc., are updated in accordance with company policy. Monitor and maintain compliance with applicable ISO standards and quality management procedures. Oversee recruitment administration by managing job postings, arranging interviews, processing outcomes, and ensuring accurate record-keeping. Photocopying, scanning, printing and electronic filing, as well as email management. Managing calendars, scheduling appointments, meetings, and conference calls. Upkeep of client and management electronic filing. Liaising with colleagues and external parties in person, on the phone or by email to answer general queries. Any other reasonable duties, as required, to ensure the efficient operation of the office.

Skills & Experience Required:



Applicants must have knowledge and experience of Microsoft Office suite, including Outlook e-mails, Microsoft Word, Microsoft Excel and Microsoft Teams. Experience in performing office-related tasks is preferred. The person in this position must have good organisational and communication skills. Capability to work well under pressure and on their own initiative as well as part of a team. Be able to plan and prioritise their own workload and deal with conflicting deadlines. Be proactive and self-motivated with a positive attitude. Be able to manage highly sensitive and confidential information. Excellent standard of written English language and a good level of numeracy. Ability to deal with clients at all levels.

Schedule:



This is a full-time position - Monday to Friday (40hr week)

Salary:



25.5k - 28.5k

Education:



GCSE qualifications are mandatory. Degree in business or business management (preferred)

Previous administrator role (preferred)
