Description





Purpose of the role





The administrator position contributes to, and supports, the organisational objectives of Innovate UK Business Connect by coordinating the Directorate's functional activities; including meetings and travel. You will work collaboratively across multiple sectors and teams to deliver excellent administrative support.



This role is based at our office in the Business Design Centre, Islington, with some flexibility to work from home.###

Roles & Responsibilities





Diary management and admin support for the Director Coordinate, manage and record team meetings Support other team members where necessary, e.g. booking travel Organise team cross-company meetings as required Develop and maintain relationships across Innovate UK Business Connect and external stakeholders Coordinate monthly reporting in line with Innovate UK Business Connect goals Meet and greet visitors to the London office and direct them to their host/meeting room Oversee day to day upkeep and tidiness of the office environment Handle telephone and e-mail enquiries, provide information about company services where necessary, transfer to relevant colleague and ensure effective follow up Manage meeting room bookings, requiring interaction with both internal and external executives and assistants, stakeholders and clients to coordinate a variety of meetings Ensure a/v equipment in meeting rooms is in working order and troubleshoot any requests for help Facilitate office mailing, couriers and order receiving Manage supply ordering, stocking and purchase requests relating to office supplies Contribute to Innovate UK Business Connect's Health and Safety policy and procedures Work with internal stakeholders and third-party suppliers maintaining health and safety training, audits and compliance Contribute to continual improvement of the functional activities Assist Business Support Team when extra admin resource required cross Innovate UK Business Connect

Experience & Skills



Essential Experience

Strong administrative experience supporting a matrixed business environment

Desirable Experience

Understanding/awareness of data protection Experience in coordinating Health & Safety function in remote organisation

Skills

Extensive IT Skills (Microsoft Office) Ability to manage multiple priorities across different teams in parallel Strong communication skills Strong interpersonal skills and the ability to communicate confidently and build effective relationships with staff at all levels Team player with good relationship building and influencing skills; enjoys working in a collaborative manner in an open, honest, and diverse environment Excellent attention to detail Ability to work on your own initiative Strong organisational and planning skills Determined, positive and enthusiastic Flexible, reliable, adaptable and trustworthy
