What you'll be responsible for:
Acting as an initial point of contact dealing with telephone enquiries from external agencies, service users or their relatives and other members of staff in a professional and sensitive manner, communicating messages where necessary without delay to the appropriate individual.
Processing incoming and outgoing correspondence and distribute accordingly without delay, in accordance with Trust policies and procedures.
Organising and booking meetings and other events (such as training sessions, conferences etc) as requested, liaising with the key stakeholders to ensure that their needs are met.
Attending meetings and take minutes if requested in an accurate and concise manner ensuring they are typed, distributed and stored in accordance with group Terms of Reference and Trust policies and procedures.
Providing a full range of administrative duties including the typing/inputting of letters, service user assessments, case notes and general information using a full range of Microsoft Office software whilst responding to requests and meeting tight deadlines to ensure the needs of the service are met.
Inputting and maintaining the Trust electronic record systems in an accurate and timely manner, adhering to Trust and network deadlines.
Arranging appointments, maintaining diary systems and distributing essential information in a timely manner.
You'll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You'll have the following skills/experience:
Ability to use word processing (and at least one other Microsoft Office Software Package e.g. Microsoft Excel, PowerPoint, and Access)
Good organisational skills in order to maintain efficiency.
Ability to use one's own initiative and prioritise workload.
Minute taking.
Excellent communication and organisational skills.
