We're hiring an organised and pr-active Administrator to join our team based at HMNB Portsmouth.

Main duties of the role:
Manage general administrative tasks, including answering calls, handling emails, and monitoring shared inboxes for timely, professional communication.
Oversee office supplies and maintain an organised, well-stocked workspace.
Create, update, and maintain accurate records across systems, databases, and files.
Coordinate meetings, appointments, and room bookings; prepare and distribute meeting minutes.
Act as the first point of contact for client enquiries, ensuring prompt and professional responses.
Support the supply chain team by obtaining quotes, tracking orders, resolving issues, and ensuring timely deliveries.
Prepare reports, spreadsheets, and summaries to support operational and management decisions.
Ensure compliance with company policies and assist with documentation for audits and regulatory requirements.
Provide administrative support across departments, including Small Works Managers and Coordinators during busy periods or absences.
Produce and analyse reports to inform management and improve performance tracking.
Communicate effectively with internal and external stakeholders to provide updates and resolve queries.
Manage visitor notifications and escort arrangements for seamless site access.
Develop and maintain templates and systems to improve efficiency and streamline processes.
Contribute to team projects and continuous improvement initiatives to enhance workflow and effectiveness.
