What you'll be responsible for:
Job Summary:
The postholder will work as a member of the Children in Care service, coordinating and providing administrative support to a designated operational team, including collating and inputting data.
The postholder will ensure good communications are maintained across the service, being the first point of contact for the service. The postholder will work under the direction and supervision of the senior Administrator.
You'll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.
Key Responsibilities:
Assist the administration team/Senior Administrator in the development and maintenance of efficient and effective office procedures and administrative tasks
Administer all office systems, both electronic and hard copy, across the service, ensuring that services run smoothly through having well planned and organised administrative systems and processes in place
Assist in the efficient and accurate recording of data on all electronic systems
Organise room bookings and assist in room preparation prior to and after service or visitor meetings
Maintain effective communication across the team, taking phone calls and either directing the caller to the appropriate team member or taking messages as required
Operate office equipment, including printers, faxes, PCs and telephones
Assist in the preparation, collection, photocopying, printing and processing of materials for management and service information and meetings
Support the administration team to organise all outgoing mail, ensuring mail is ready for collection as given times. Sort and distribute incoming mail.
Ensure the distribution of service user and staff communications and information across the service as required
Support projects within the service by undertaking various administrative and clerical tasks
Reflect on own areas of development to support the administration team and engage in regular support and supervision meetings
Measure own personal goals and ensure they align to the wider Trust goals and strategic objectives
Comply with all statutory, legislative and local policies applicable to this post
Support and maintain health, safety and security across the service
Undertake any ad-hoc duties as required by the Service Manager
You'll have the following skills/experience:
Confident and effective interpersonal and communication skills
Ability to empathise, be supportive and sensitive to the needs of others
Ability to use a practical problem solving approach in everyday situations
Good IT skills, with an ability to navigate around various systems and software packages, such as Outlook, MS Office, the internet and databases
Ability to work effectively in a team and to work under direction on routine tasks without the need for supervision
Ability to work flexibly as required, with the ability to travel independently between locations to fulfil the requirements of the post
Previous knowledge and experience of working in an office and/or customer care environment, undertaking a full range of administrative duties.
