Hours: 37.5 hours per week



Working Pattern: Monday to Friday



Shift Pattern: Weekdays, 8:30-4.30pm/9.00-5.00pm



Duration: 3 Months



What you'll be responsible for:



Job Summary:



The post holder will support the effective operation of a specific project to support children waiting for therapy services by providing organisational and administrative support to the service in line with the outcomes of the project. A large element of the project will be ensuring our record keeping system is accurate and up to date.

You'll learn the following whilst working at the trust:



1. An in depth understanding of the roles and responsibilities involved in working within the NHS

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.

Key Duties and Responsibilities



To ensure that all clinical records are kept up to date with children being placed on the correct waiting list. To support the appropriate discharge of children from the service where no clinical need has been identified by a clinician. To potentially contact parents of children waiting to identify if the parent is still concerned about their child's needs, as required by the direction of the project This may mean interacting effectively with people with a full range of communication difficulties and their parents/carers by means of telephone and/or direct contact, which may be of a distressing nature or to deal with service users who are frustrated with sensitivity, resolving the issues at the earliest opportunity and ensuring the required follow up from therapy staff. To book appointments for children, as directed by the operational leads. To manage, monitor and prioritise own workload, identifying need for support as appropriate. Maintain all office systems, both electronic and hard copy, across the service, ensuring that services run smoothly through having well planned and organised administrative systems and processes in place Assist in the efficient and accurate recording of data on all electronic systems When required, to take, respond to and record accurately all telephone calls and emails, initiating actions and highlighting when a matter is urgent, relaying messages accurately, ensuring that all calls receive prompt attention and complete confidentiality in an efficient and courteous way, When required, to acknowledge, record and process referrals received and book appointments as appropriate. To work collaboratively with other administrative staff within the locality. To assist with other duties, as requested by the Operational and Service Leads. To assist in the collation of data/information for use in audit and research. To assist and maintain databases/spreadsheets as required for management and monitoring of the service and the project To attend and implement all statutory and mandatory training as required by the Trust. To ensure understanding and adherence to Trust policies and procedures, including incident reporting, risk management and health and safety. To be involved in maintaining and developing Trust wide administrative policies and procedures, and to participate in implementation and development of practice and procedures used within the administrative team. To maintain / develop skills and competencies at a level appropriate to the requirement of the role.

You'll have the following skills/experience:



Previous Experience:



Basic knowledge of administration and/or office procedures Previous knowledge and experience of working in an office and/or customer care environment, undertaking a full range of administrative duties, including minute-taking Knowledge and experience of using a variety of software programmes/packages e.g. Microsoft 365 Experience of using RiO clinical notes system Experience of working with service users from a wide variety of backgrounds including age and ethnicity

Knowledge, Skills & Abilities



Good interpersonal, communication and reporting skills Ability to empathise, be supportive and sensitive to the needs of others Ability to use a practical problem-solving approach in everyday situations Good IT skills, with an ability to navigate around various systems and software packages, such as Microsoft 365 including Teams, Outlook, Excel and Word Ability to work effectively in a team and to work unsupervised and on own initiative, managing own workload Ability to work flexibly as required, with the ability to travel independently between locations to fulfil the requirements of the post Ability to use appropriate language, when assisting service users and visitors and always maintain a professional approach towards colleagues and service users.
