Job Description

As our Administrator you will play an important part in helping us to deliver a first-class, high-quality administrative service to all customers and clients of Trevenson House and to provide administrative support to iCT4 staff.

Your place of work will be at our offices in Trevenson House, Pool.

You will be experienced and confident in the administration processes and with proven experience of using the common Microsoft Office applications.

Exemplary communication skills are essential to promote positive relationships with all customers and clients.

Objectives:

To provide a high level of administrative support to the Business Manager, and iCT4 staff in an effective and efficient manner To coordinate the company's administrative operations to ensure the administration systems flow smoothly To monitor the administration systems, ensuring functionality, efficiency and maintaining accurate data
Tasks:

Deliver an efficient, professional, friendly, and helpful reception service

Provide administrative support to clients of Trevenson House and iCT4 staff

Manage tenant room bookings

Trevenson House day to day operations and site building security

Assist the Business Manager with the B Corporation accreditation, integrating B Corporation commitments of high standards of social and environmental performance, transparency and accountability into the company ethos and documentation Track Company Policies and Procedures, ensuring policies are updated and renewed as required Track Fleet Inspection Schedule & Record Keeping
Process ID cards for customers

Administer our Stock Control systems and processes, including "Goods In and Goods Out" procedures

Ensure health and safety within Trevenson House is maintained

Manage day to day Fire Safety & ensure fire safety protocols within Trevenson House are adhered to including bell tests, emergency lights and 6 monthly monitoring Manage day to day aspects of Health and Safety within Trevenson House & ensure Health and Safety within Trevenson House is maintained Manage day to day aspects of site maintenance and building security Ensuring compliance visits are undertaken in line with the compliance register and faults highlighted to the Business Manager
Provide first aid cover for all Trevenson House users

Ensure fire safety protocols within Trevenson House are adhered to.

To be one of the designated Fire Wardens managing fire safety for Trevenson House, including working in association with each tenants own Fire Warden (where applicable) to provide a safe working environment.

Ensure all enquiries are dealt with professionally, efficiently, and effectively

Act in accordance with defined policies, procedures and within applicable regulations

Own your continuing self-development, undertaking training as appropriate

To undertake any other duties appropriate to the post
The Person

The post holder will demonstrate tenacity and attention to detail in all they do, thriving in a varied environment where no two days are the same. The post holder will increasingly become a point of focus in the company, allowing for a consistently high-quality business support function to be developed and implemented.

The post holder will have excellent administration and organisational skills and demonstrate a passion for excellent customer relations. Multi-tasking skills, with the ability to react quickly to the changing demands and priorities is essential.

The successful candidate must be able to manage their time effectively and must be a self-starter, who is comfortable working alone as well as part of a team. They must be able to demonstrate a high level of interpersonal skills, have the ability to remain calm and effectively manage stressful and challenging situations across a range of stakeholders.

All employees are responsible for assisting iCT4 to ensure and maintain compliance iCT4's ISMS (Information Security Management System) & all ISO Standards, policies and procedures.



Qualifications



Proficient in Microsoft Office and Google Suite Strong typing and data entry skills Excellent phone etiquette and communication abilities Prior administrative and clerical experience Familiarity with QuickBooks and office procedures Exceptional organizational skills and attention to detail Previous experience in a reception or administrative role is preferred

Pay: 12.60 per hour
