As we continue to grow, we are seeking a highly skilled Administrator to join our team. This role is critical to the safety and accuracy of our clinical outputs, requiring you to bridge the gap between administrative logistics and clinical quality assurance.
The Role
As an Administrator, you will execute SOP-led operations that are consistent in method but critical in nature. You will be responsible for a blend of high-level logistical support and vital quality assurance tasks currently performed by the Company Directors and Senior Administrator.
Your responsibilities will be split into two core functions:
Clinical Accuracy & Quality Assurance
You will act as the primary checkpoint for clinical documentation, ensuring absolute data integrity before letters reach patients or GPs. Duties include:
Clinical Letter Verification:
conducting the "Second Check" on Clinical Letters and Medication Review Letters. This involves meticulously cross-referencing draft letters against source documents (MRI reports, ECG reports, and Pathology results) to ensure accuracy.
Data Transfer & Calculation:
Transferring critical medical data, such as physical observations and deranged pathology results, from lab reports into our Physical Observation Calculations Sheets and Draft Clinical Letters.
Result Management:
Confirming that all necessary diagnostic results are present in the client folder before alerting the clinical team.
Log Maintenance:
Accurately adding diagnoses to the Patient Log and updating information within internal CRMs.
Operational & Logistical Administration
You will manage the daily administrative workflow to ensure the smooth onboarding and processing of patients. Duties include:
Patient Coordination:
Arranging appointments, setting up client folders, and confirming patient acknowledgement of appointment summaries.
Documentation Management:
Sending and tracking essential patient information documents, including Pre-Assessment, Medication, and Genetic Testing.
Liaison:
Obtaining GP surgery email addresses to ensure seamless communication of results and sending invoices and terms to new clients.
Completion:
Issuing review requests and ensuring conversion tracking details are logged upon case completion.
What We're Looking For
To succeed in this role, you must be a "finisher", someone who takes pride in spotting the smallest errors that others miss. You need to be an extremely competent computer user with high-level linguistic skills.
Essential:
Superior English Skills:
You must possess high-level English reading, writing, and proofing skills. You will be reading complex correspondence involving medical terminology (e.g., MRI findings or medication protocols) and must ensure grammatical precision.
IT Proficiency:
You must be proficient in Google Workspace, specifically managing tasks in Asana, handling data in Google Sheets, and managing documents in Google Docs.
Pattern Recognition:
Exceptional attention to detail to identify discrepancies between raw data (e.g., a pathology report value) and the final clinical letter.
SOP Adherence:
The ability to follow strict Standard Operating Procedures for repetitive but high-stakes tasks, such as the specific protocol for "Medication Review Letters (Prescribe vs Discharge)".
Remote Discipline:
The ability to work autonomously and productively from a home environment.
Desirable:
Prior experience in healthcare administration or medical proofreading.
Familiarity with medical terminology (e.g., understanding pathology results or cognitive assessment scores).

Working Hours:
Monday to Friday, 09:30-14:30.
Breaks:
Includes a 30-minute unpaid lunch break.
Location:
This is a fully remote post.
Training:
All training will be conducted remotely.
