Design Asylum is a vibrant footwear and accessories company that encompasses the Irregular Choice brand and its various lines. Established in 1999 by Dan Sullivan, Irregular Choice is known for its distinctive designs that stand out in the market. With our head office located in Shoreham beach we manage sales through retail stores and our e-commerce platform.

Summary



We are looking for a highly organised and experienced Administrator to support our retail operations across all departments. This is a role requiring exceptional attention to detail and the ability to manage complex processes in a fast-paced environment. The ideal candidate will have prior experience in a similar position within retail or wholesale, with a confident, proactive approach and a solid understanding of stock flow and purchasing operations.

Key Responsibilities:

Order Processing:



Oversee the end-to-end order process including raising purchase orders and tracking production and shipment timelines. Liaise with suppliers to ensure timely delivery of goods as well as providing support to the production team.

Data Management and Reporting:



Maintain comprehensive records across all key areas: orders, prices, budgets, margins, shipments, sales, stock etc. Prepare regular reports and provide insights to inform stock management and replenishment decisions as well identifying sales patterns.

Shipping Coordination:



Plan and instruct regular international shipments by sea and air working within agreed timelines and delivery windows. Monitor product demand and ensure shipping schedules align with sales forecasts and trading needs.

Stock Flow Oversight:



Manage and authorise all stock movements across retail stores and the Irregular Choice Website. Coordinate weekly transfers, ensuring optimum stock distribution and availability to maximise sales.

Administrative Support:



Create and maintain markdown lists during sale periods. Provide day to day administrative support to the retail and buying teams.

Skills and Experience:

Strong administrative skills:

Excellent organizational skills with the ability to manage multiple priorities and maintain high levels of accuracy.

Analytical Thinking:

Confident working with data to identify trends, issues, and opportunities. Experience generating and interpreting reports to drive informed decisions.

Communication and Collaboration:

Excellent interpersonal skills with the ability to liaise effectively across internal departments, suppliers, logistics providers and other stakeholders.

Tech Savy:

Must be highly proficient in Microsoft Excel and other Office applications. Good experience with Shopify and inventory management systems is a strong advantage. Proactive to learn new IT skills.

Knowledge of purchasing principles:

Basic understanding of Buying and Merchandising practices and procedures.

Experience in a retail or wholesale environment:

Familiarity with retail or wholesale operations.

Initiative and Autonomy:

Comfortable working independently with a proactive and solutions focused attitude. A problem solver who is able to identify and resolve issues.
