Working Pattern: 37.5 Hrs/ week or Part Time Considered (4 Days)

What you'll be responsible for:



Job Summary:



The post holder will provide a range of administrative support to the Children, Families and All Age Neurodiversity (CFAAN) services, enabling the delivery of an effective and efficient service to children and families.

You'll learn the following whilst working at the trust:



1. An in depth understanding of the roles and responsibilities involved in working within the NHS

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.

Manage the retention and destruction of paper requests, in line with legislation

RESPONSIBILITIES



Provide a welcoming and professional front-of-house service at St Mark's Hospital Child Development Centre, acting as the first point of contact for patients, families, staff, and partner organisations. Reception & Communication: Greet and assist patients on arrival, manage reception areas, handle telephone calls, emails, and messages promptly and accurately, and support patients in navigating the building. Administrative Support: manage patient appointments as directed; maintain electronic patient records (RIO); upload documents; process mail; and support clinical teams and clinics with administrative tasks. Information & Records Management: Ensure accurate data entry, maintain filing systems and databases, update patient demographics and comply with Trust policies and procedures. Supplies & Facilities: Receive, and maintain stationery, clinical resources, and service-user supplies; manage stock levels; and ensure clinical and reception areas are clean, safe, and fully equipped. Team Support: Provide information and support to colleagues, contribute to audits and service improvements, and act as an information resource. Customer Care & Problem Solving: Use effective communication skills in difficult situations, handle complaints appropriately, and provide courteous, professional service in line with Trust values. Training & Development: Undertake mandatory training and participate in ongoing skills development.

You'll have the following skills/experience:



Previous Experience:

Previous knowledge and experience of working in an office and/or customer care environment Experience in secretarial / administrative work, undertaking a full range of administrative duties, including minute-taking. Experience in reception work Experience of NHS working. Experience of supervision of junior staff

Knowledge, Skills & Abilities



Intermediate keyboard skills and the ability to communicate through IT, using packages such as Word, Outlook and Excel Knowledge and experience of using a variety of software
programmes/packages.

Advanced Telephone communication skills Good Command of the English Language Intermediate Database entry skills Ability to maintain confidentiality Ability to work effectively in a team and to work unsupervised and on own initiative, managing own workload. Ability to work flexibly as part of a team. Good time management and prioritisation skills. Ability to empathise, be supportive and sensitive to the needs of others. Ability to use a practical problem solving approach in everyday situations. Good interpersonal skills allowing the post holder to work constructively with colleagues, in a team and also independently. Demonstrates understanding of what this role encompasses, i.e. children's therapies; speech and language therapy, occupational therapy, physiotherapy Able to act as an advocate for CYPIT service

System Knowledge:



Knowledge of RiO, Word, Excel, Good communicator-speaking to families and arranging appointments.
