We are looking for a highly organised, efficient, and proactive Part-Time Administrator to join our administrative team at Dungavel Immigration Removal Centre. In this key position, you will play an important role in supporting the smooth day-to-day operation of the centre.
This role is perfect for someone seeking part-time work in a challenging yet rewarding environment, where your contribution will directly support the effective running of the immigration system.
Key Responsibilities
Provide general administrative support to management and operational teams.
Maintain accurate records, filing systems, and databases.
Prepare and update reports, spreadsheets, and other documents.
Manage incoming calls and emails, responding to queries or directing them appropriately.
Arrange GP clinics and coordinate clinic schedules with healthcare professionals.
Organise patient transport, ensuring timely and secure arrangements.
Prioritise and manage multiple administrative tasks and deadlines.
Support meeting preparation, including scheduling, agendas, and minute-taking.
Ensure compliance with confidentiality and security procedures.
Essential Experience & Qualifications
Proven experience in an administrative role, ideally within a busy office or secure environment.
Strong proficiency in Microsoft Excel, including data entry, formulas, pivot tables, and basic data analysis.
Excellent organisational skills and the ability to manage multiple tasks simultaneously.
Experience maintaining accurate records and databases.
Strong written and verbal communication skills, with the ability to handle sensitive information appropriately.
High attention to detail and accuracy.
Ability to work under pressure while following procedures and policies.
A collaborative, team-oriented approach.
Desirable Skills & Experience
Experience as a medical receptionist/adminstrator.
Previous experience working within a secure environment such as a detention or immigration facility.
Familiarity with case management systems or similar administrative software.
Understanding of immigration procedures and regulations (advantageous but not essential).
Ability to adapt quickly in a fast-paced, changing environment.
