20 hours per week, Mon - Fri, 4-hour shifts between 8am & 5pm (flexible)

The postholder must have the following experience:
Administrative experience
Good typing skills
Good customer service
The post holder will be responsible for providing a wide range of administrative support for the Safeguarding Adults Team and Community Health and Social Care Teams in safeguarding administration. A high level of concentration and communication skills is required as well as use of initiative in problem solving. The post holder will be required to work across a number of locations within Torbay. A primary role will be to minute take for Health and Social Care Teams at formal safeguarding adult meetings.
1. Attend meetings allocated by the Safeguarding Adult Co-ordinator, and minute the discussions held.
2. Set up meeting rooms as required including equipment / refreshments.
3. Transcribe within timescales the minutes and follow the Safeguarding Adults Guidance to ensure the minutes are approved by all relevant parties. Ensure timescales are adhered to at all times and escalate any concerns / problems accordingly
4. Ensure all documentation is kept securely, and confidentiality is maintained at all times. Ensure all storage of information meets legislative and organisation policy and procedure.
5. Support diary management of safeguarding team as requested
6. Take responsibility for ensuring that the Generic Safeguarding Adult Team Contact Number is answered and calls are signposted appropriately.
7. Update the Safeguarding Adults minute tracker and any other identified data base requirements within the team as required by organisational policy and procedure.
8. Provide administrative support to the Safeguarding Adults team, as required.
9. Mail: open (non-confidential), sort, log, distribute and prioritise for the team using judgment and experience to decide where documents are passed.
10. Respond to emails in a timely and professional manner, maintaining relevant information and archiving correspondence as appropriate
11. Management of all secure computer files such as those for whole home investigations, staff email records, audio transcription etc.
