We are seeking a proactive and detail-oriented Administrator to support the day-to-day operations of our growing construction business. This is a varied role requiring excellent organisational and communication skills, strong attention to detail, and the ability to work efficiently under pressure. You will be pivotal in supporting both the operational and commercial teams, ensuring the smooth administration of finance, compliance, and project-related tasks.

Key Responsibilities
Financial & Systems Administration
Upload, reconcile and allocate supplier and sales invoices using Xero
Manage CIS subcontractor records and documentation
Prepare, issue, and follow up on client sales invoices
Maintain and update company databases and filing systems (digital and paper-based)
Compliance & Accreditation
Assist with preparation of health & safety and quality accreditation submissions (e.g. CHAS, SafeContractor, ConstructionLine)
Support in gathering documentation for tenders and pre-qualification questionnaires (PQQs)
Keep statutory documentation up to date (e.g. insurance certificates, licenses, H&S records)
Operational Support
Coordinate diary appointments, meetings and site visit schedules
Monitor and diarise key project dates (start/completion, valuations, retentions)
Maintain registers for training, equipment and PPE stock
Organise employee training and maintain training records
Administrative Support
Compile new supplier account applications and maintain supplier contact lists
Proofread and quality assure documentation provided by the Surveying team
Provide general administrative support to Directors and Surveyors, including travel booking, printing, formatting, and ad-hoc requests
Person Specification
Essential Skills & Experience
Proficient in Microsoft Office Suite, especially Outlook, Word and Excel
Excellent organisational and time management skills
Clear and professional written and verbal communication
Ability to manage multiple tasks and deadlines effectively
A high level of accuracy and attention to detail
Desirable Skills & Experience
Previous experience in the construction industry
Knowledge of CIS (Construction Industry Scheme)
Working knowledge of Xero accounting software
Familiarity with tender submissions and accreditation applications
Experience supporting operational and/or commercial teams
