MON - FRI (9-5 ideally however willing to consider flexibility that fits needs of service and employee - once inducted 2 x WFH days per week if desired as optional

What you'll be responsible for:



Job Summary:



The post holder will support the effective operation of the Perinatal Mental Health Service, providing organisational and administrative support to the MDT.

The post holder will be required to work with minimal supervision following initial induction where close support will be offered to provide professional and administration support to Perinatal Mental Health Service. As a valued member of the team, you will have good interpersonal skills and be confident in learning about and operating a wide range of systems and process. You will also assist in the promotion of high-quality Perinatal Mental Health Services in line with the Trust's Core Standards and Values.

RESPONSIBILITIES



The post holder will be a member of the Perinatal Mental Health Service, based at The Resource House, Wokingham. The post holder will work within the hours of operation (Monday - Friday 09:00 - 17:00) and actively support both the Clinical Leads, Clinicians and the Perinatal Mental Health Manager within the Service to deliver a customer focused service. The post holder is expected to liaise effectively and professionally with all levels of staff, departments, external organisations and the public, dealing with confidential information in an appropriate manner. The post holder is expected to act on their own initiative on a daily basis to ensure the effective running of the Perinatal Mental Health Service, prioritising their own workload with guidance from the manager. To be the first point of contact for the patients/clients when required. Receive telephone calls and visitors, taking messages and undertaking initial investigations and action when required and promote effective communication across the teams. The post holder will ensure the timely and accurate communication of information between the customers of its services and the team by collecting accurate messages and information and taking personal responsibility for its delivery to those concerned and where appropriate confirming this with customers and following up calls. The post holder will be responsible for arranging complex, individual and multidisciplinary appointments for patients which may involve more than one clinician and significant others and the associated logging, confirmations and other necessary activities. To type confidential correspondence, produce reports and other documentation on behalf of the clinicians, to a high standard within agreed timescales. This will include the accurate completion of letter templates with details of formulation and intervention. This requires knowledge of clinical terminology and maintains a high degree of accuracy. Ensure correspondence is copied to relevant professionals involved in the client's care. Where required the post holder will receive enquiries and ensure all customers and other professionals feel welcomed and their enquiry or requests are responded to effectively through this function. The post holder will deal with enquiries from patients, carers, staff and other professionals in a careful and sensitive way and taking appropriate action in a timely manner. Where communication from the enquirer is difficult, distressed or aggressive the post holder will be expected to respond in a professional way thus presenting the organisation externally as well as possible. The post holder will support the production of clinical records and letter writing as directed. The post holder will ensure that clinical and non-clinical data is collected as directed and in keeping with the Trust and other policies To support collection of health and activity data for the purpose of service evaluation, audit and research. To support the activities and work of clinicians as and when required. Plan and arrange meetings and events, which may be internal or external to the teams, ensuring all necessary arrangements are made. Attend designated meetings where the information may be complex and sensitive, taking and transcribing minutes. Distribute information prior to and after meetings in a timely way using digital solutions if available. Record and process referrals, update clinical systems and produce the correspondence regarding appointments, ensuring delivery within the trust process and procedures. Training will be available. Ensure all office systems are maintained to a high standard, helping to develop systems to ensure that services run smoothly through having well planned and organised administrative systems and processes in place in line with local and trust guidelines, training is available. Ensure the efficient and accurate recording of client data on all electronic systems i.e. RIO, Patient Experience Trackers (PETs) and databases, and that the recording conforms to necessary policies, processes and protocols. Support and maintain health, safety and security across the service. Support the arrangements for new members of staff, including organising access to the computer systems and liaising with Facilities and arranging equipment such as mobile phones, access badges and parking permits. To support service management and performance as directed by the manager, e.g. recording staff absence and logging leave schedules on the relevant systems. To adhere to the trusts filing systems and procedures to ensure good quality, standards and performance. Comply with all statutory, legislative and local policies applicable to this post.

You'll have the following skills/experience:



Previous Experience:



Experience of working in Perinatal Mental Health Previous experience of working in health related environment Working in a mental health environment

Knowledge, Skills & Abilities:



Clear and accurate communications skills Understanding of medical & psychological terminology IT skills in MS Word 360, Excell, Power point, publisher and familiar with RIO. Minute & Note taking experience Organise and prioritise work to meet deadlines. To be able to manage, implement and change short term and long term plans
