Job Description

Our hospitals run smoothly because we have fantastic people undertaking administrative tasks to ensure everything is organised, accurate and ready for when it is needed.



We are looking to recruit to a number of roles so have decided to do a joint recruitment campaign instead of advertising them all separately. If you meet the criteria, you should just attend one interview, but would be considered for several different administrative roles across our hospital locations. You will be asked for your preferences to ensure we match you to the location and hours you are interested in .



We would love to hear from you if you have:



Strong organisational and multitasking skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office packages ie Word, Excel, email Ability to work independently and as part of a team. Accuracy with data and information Effective numeracy and literacy skills

As we are recruiting to several different roles, we can't list every task you will undertake, but these are an example of the kinds of things you will be responsible for:



Provide great customer service to patients, staff, visitors and external partners. Keep our electronic/manual records and databases in great shape through accurate inputting, scanning and filing Coordinate and schedule appointments, meetings and events Help our patients check in for their appointments, dealing with patient enquiries and ensuring follow up appointments are organised. Handle correspondence and communication with flair. Assist in the preparation of reports, presentations and other documents.

Duties include:



Communicate with a range of staff, patients and visitors to the Trust / Department Provide a friendly and welcoming meet and greet to visitors and patients Utilise a variety of communication methods including verbal, electronic and passing information in a format that is appropriate to the individual request. Organising incoming and outgoing post, referring enquiries to appropriate person if necessary. Responding to external and internal telephone queries from staff / patients internal and external stakeholders Producing letters, documents and correspondence Filing and scanning of records, notes and reports accurately Management of email systems Organising clinics/booking appointments, activating and discharging appointments and managing waiting lists. Data Entry using Trust IT systems and appropriate packages ie MS Word and Excel * Ad hoc administrative duties as required
