Position Overview



We are seeking a highly organised and detail-oriented

Administrative Coordinator

to provide reliable, efficient, and proactive support across day-to-day operations. The ideal candidate is resourceful, disciplined, and thrives in a fast-paced environment while ensuring accuracy and professionalism in all tasks. This role requires strong communication skills, the ability to prioritize competing demands, and a commitment to maintaining seamless workflows.

This role will provide vital administrative assistance to the Case Manager, focusing on accuracy and ensuring the smooth, secure, and compassionate handling of highly sensitive information for our vulnerable clients. This position is essential for managing sensitive records and supporting each case from initial submission through to the final award.

Job Title: Administrator/Coordinator

Location: Office/flexible Hours: Full-time. Hybrid with flexible working Salary: 25,000 - 27,000 (dependent on experience) 4% contributory pension scheme 20 days annual leave + bank holidays + Xmas shutdown Reports to: Case Manager / Legal Operations

Main Responsibilities



Maintain accurate and up to date personal records and ensure Identifications are valid and information qualities are verified with photo IDs on documents visible and of good quality Keep both digital and physical case files organised, secure, and up to date Monitor the progress of each case and update internal systems with important milestones. Arrange meetings, calls, and check-ins for our clients as directed by the Case Manager. Assist in completion of application process, compilation of supporting documents, completion for final upload and submissions Maintain and monitor active cases from initiation through completion, ensuring timely progress and accurate documentation at every stage. Track deadlines, deliverables, and next steps, escalating issues promptly when risks or delays are identified.

Data Security & Compliance



Log and track all documents received from survivors and external partners.

Maintain strict data security in accordance with GDPR and safeguarding requirements.

Identify and flag missing or inconsistent information for further review.

Support with handling Data Subject Access Requests (DSAR) and record tracing requests and timely return

Support and Communication with Clients



Send clear, accessible updates and reminders to survivors at every key stage.

Respond kindly and clearly to general queries and escalate more complex matters as needed.

Ensure all communications and interactions reflect principles of trauma-informed and inclusive care.

Teamwork & Collaboration



Coordinate with external partners and institutions to support seamless data flow.

Assist with internal reporting by gathering case statistics and feedback.

Help prepare materials for stakeholder meetings and survivor forums.

Contribute to ongoing improvements by offering insights and suggestions.

Person Specification



Essential



Strong organisational and administrative abilities with strong attention to details

Excellent communication skills, both written and verbal

Discretion in handling sensitive and confidential information

Competence with Microsoft Office or Google Workspace

Empathetic, calm, and professional approach

Data Management - updating and maintaining database
