As the GRAHAM business continues to grow, we wish to employ an enthusiastic and experienced Document Controller to assist and service the needs of both internal and external document management functions.

The Administrator/Document controller shall be responsible for:

  • First instance review of rejected documents to ensure information has been updated.
  • All Document Control activities on the Project
  • Upload subcontractor\'s documents received to the client and GFM CAFM systems. training will be provided.
  • Assisting in Reactive and Planned Preventive Maintenance Scheduling
  • Set-up and administering internal management system - Sharepoint platform for individual projects. Sharepoint training will be provided.
  • Facilitating and coordinating the requests for information between clients, stakeholders, subcontractors, or consultants.
  • Requesting information to close out compliance packages, including the ordering of tests and certificates.
  • Contributing to the monthly design report where necessary, giving IRS updates on what has been received and what is expected.
  • Suppling information for compilation of the O&Ms, eg. datasheets and design information.
  • Set up and monitoring workflows, tasks, discussion, etc.
  • Providing Sharepoint training to new users.
  • Providing technical and functional support and Sharepoint platform users.
  • Preparing basic documents and templates for regional project use.
  • Managing paper drawings/bulk printing or arrange with reprographics company (i.e., Hobs) as required
  • Being flexible with secondary support for Operations, Commercial, Quality /other Internal departments.
  • Challenging inconsistency and bad practice.
  • Undertaking any other duties that may be assigned from time to time
This job description is intended to give the post holder an appreciation of the role envisaged for the Document Controller and the range of duties to be undertaken. It does not attempt to detail every activity. Specific tasks and objectives will be agreed with the post holder at regular intervals.

About You

Essential
  • Strong IT skills to include Microsoft Office suite, Excel, CAFM systems.
  • Administrator level of experience of Viewpoint 4Projects
  • Strong communication and interpersonal skills
  • Minimum of 1 years proven FM and Document Controller experience
Desirable
  • Excellent computer skills, especially typing and working over multiple CAFM/Integrated systems.
  • Attention to detail.
  • Desire to be proactive and create a positive experience for others.
