to join our friendly team at Midland Eye. This is a key, patient-facing role based on reception, where you will oversee the smooth running of the patient pathway from booking to discharge.
Working closely with consultants, clinical staff, and fellow administrators, you will be the first point of contact for patients, ensuring they feel welcomed and supported. This is a varied role where clinics and theatres often run simultaneously, so you will need to be confident managing multiple priorities and working independently at times.
What You'll Do
Provide a warm and professional welcome to all patients and visitors.
Coordinate the entire patient journey - from booking appointments and sending reminders to managing check-in, payments, and discharge.
Handle patient enquiries in person, by phone, and by email with efficiency and empathy.
Maintain accurate patient records and update systems (Salesforce and DGL) with letters, consent forms, cancellations/DNAs, and payment information.
Prepare patient notes for theatre sessions and liaise with clinical teams to ensure everything runs smoothly.
Take card and cash payments for consultations and procedures and complete all related administrative tasks.
Support consultants, GPs, optometrists, and internal teams with information requests and updates.
Assist with patient satisfaction surveys, clinic audits, and reporting requirements.
Keep up to date with treatment pricing and promotions to maximise appointment opportunities.
Provide ad-hoc administrative support, including filing, scanning, and general clerical duties.
What We're Looking For
Previous experience in an administrative or customer-facing role (healthcare experience is welcome but not essential).
Strong organisational skills and the ability to work calmly in a busy, fast-paced environment.
Excellent communication and interpersonal skills, with a patient-first approach.
Confidence using IT systems (training provided on Salesforce and DGL).
Attention to detail when handling data, payments, and patient records.
A flexible and collaborative attitude - able to work solo on reception as needed.
