Job Description

Lady Margaret Hall was founded in 1879 as the first women's College in the University of Oxford. It is now a thriving co-educational academic community of over 800 undergraduate and postgraduate students. The College is set within vast riverside grounds at the top of Norham Gardens in North Oxford.

Main Purpose of Job



The post-holder will provide administrative support for Undergraduate and Graduate Admissions, induction and registration. The post-holder will report directly to the Admissions Manager and will work closely with the Head of Access and Admissions Support, Senior Tutor, Tutor for Graduates and other members of the Academic Office. This is a part-time post (22.5 hours per week, 0.6 FTE).

Liaison with: Internal - Tutor for Graduates, College staff and students. External - Central University administration, Faculties and Departments, applicants
Main Tasks


1. Undergraduate Admissions


Supporting the Admissions Manager and collaborating with colleagues to administer the Undergraduate Admissions exercise, including drafting timetables and shortlists for online Undergraduate Admissions interviews Preparing and distributing interview materials, such as pre-interview reading or online whiteboards Logging additional documentation from candidates such as written work and mitigating circumstances materials Distributing applications and additional materials such as admissions tests materials and written work to tutors Providing administrative support to Chapel colleagues for Organ Award applications Administrating electronic files for new undergraduate students; preparing, logging, and appropriately storing student documentation including financial declarations. Responding to routine email enquiries from undergraduate applicants, liaising with the Admissions Manager for more complex enquiries Processing qualifications for verification from LMH offer-holders, including academic and English language qualifications

2. Graduate Admissions


Supporting the Admissions Manager in administrating the Graduate Admissions process for the College including liaising with offer holders, preparing and logging financial declarations Collating and distributing postgraduate applications to both the Tutor for Graduates and tutors, and logging responses Maintaining accurate records of applicants Administrating electronic files for new graduate students; preparing, logging, and appropriately storing student documentation including financial declarations Responding to routine email enquiries from graduate applicants, liaising with the Admissions Manager for more complex enquiries

3. Student On-boarding and other duties


Supporting the Admissions Manager to prepare pre-arrival information and logging and appropriately storing student documentation Preparing ATAS documents and CAS requests for Undergraduate Freshers Assisting on-course colleagues in the delivery of Freshers' Week, including liaising with other College staff, for example, to make room bookings Providing support for the Admissions Manager in planning and delivering undergraduate and graduate registration Contribute to Lessons Learned and process review exercises Provide support to the Visiting Students Administrator in processing Visiting Student applications
The post-holder will also be expected to contribute, where required, to the general workings of the busy Academic Office, for example, with general student administration and academic recruitment.

Essential



Qualifications and Experience
A good standard of education, at least to A Level and preferably degree level. Administrative experience involving computer-based records, preferably in a related field. High standard of IT literacy including familiarity with Microsoft Office, particularly Word & Excel required; some experience of maintaining databases; training will be provided on University specific databases as necessary.

Good organisational skills, the ability to prioritise and to keep track of multiple tasks Ability to deal with pressure and ability to deal with unexpected events Good attention to detail Ability to format documents, emails and letters, and to conduct mail merges for both letters and emails Good judgement about when to use initiative and when to consult Sound decision-making skills during periods of minimal supervision Excellent interpersonal skills Excellent communications skills, including both written and spoken English Demonstrable awareness of the principles of data protection as relevant to a customer facing role Ability to deal effectively with people at all levels Ability to work co-operatively with a helpful 'can do' attitude

Desirable


Knowledge of the UK higher education system preferred Knowledge or experience of undergraduate and postgraduate admissions at the University of Oxford or experience of the collegiate university Terms and Conditions


The salary will be c. 25-28k per annum FTE. This role is to be filled from January 2025. Benefits of working for the College include 37 days holiday (including bank holidays), pro rata for part time appointments, the option to join a University pension scheme and one free meal whilst on duty and the kitchens are open, when the kitchens are closed a meal allowance will be paid. Working hours - 22.5 hours per week. While exact working hours are to be agreed upon appointment, the preference of the College is for the hours to be spread across at least 4 working days each week. Furthermore, the successful appointee will be expected to assist the team during the Admissions period November-December, which will require extended and non-standard hours of work up to full-time over a period of approximately 3-4 weeks. Time off in lieu is granted for extended periods of out of hours working. All Bank holidays during term time are working days and time-off in lieu is granted; annual leave is not usually permitted during busy admissions periods, particularly for the Undergraduate Admissions round in late November and December.

There will be an initial probationary period of six months. Applicants must be eligible to work in the UK.
