AI Voice Receptionist & Appointment Booking Integration for Dental Practice
Project Overview
We are a multi-site dental group in the UK (Watford & Bedford) seeking to build an AI-powered receptionist system that can:
Answer incoming patient calls.
Understand patient needs (general enquiry vs. emergency vs. new patient).
Access our practice management system (Bridge-IT) via its official API (OpenAPI/Swagger).
Offer available appointment slots and book directly in the diary.
Respect clinic rules (e.g., hold back emergency slots, appointment types per provider).
Hand off seamlessly to a human receptionist if needed.
This system must be compliant with UK GDPR, NHS DSPT standards, and ICO guidance on AI/telephony.
Scope of Work
Telephony & Voice AI Setup
Integrate inbound phone line(s) with Twilio (or equivalent SIP provider).
Deploy a low-latency voice AI agent (OpenAI Realtime API or equivalent).
Configure fallback to live receptionists ("Press 0 to speak to staff").

Bridge-IT API Integration
Use scoped Bridge-IT API keys to read/write appointments.
Implement appointment rules (emergency slots, provider preferences, buffers).
Secure handling of patient identifiers (DOB, postcode) for verification.

AI Orchestration
Build "tools" the AI can call (check availability, book, cancel, reschedule).
Red-line scenarios where the AI must hand off (safeguarding, complaints, red-flag symptoms).

Compliance & Security
Ensure data flow meets UK GDPR + DSPT.
Implement call logging (with redaction), access control, and data retention policies.
Provide audit trail of bookings made by AI.

Analytics & Optimisation
Call-flow monitoring (missed calls, drop-off points).
Appointment conversion rates.
Continuous tuning of call scripts/intents.

Functioning AI receptionist handling inbound calls on one practice line.

Training for staff to monitor and update rules.
Ideal Candidate / Team
Proven experience with OpenAI Realtime API, Twilio/Vonage, SIP integrations.
Experience integrating AI with medical/dental PMS or EMRs (UK/EU preferable).
Strong knowledge of GDPR, ICO guidance, DSPT, healthcare data compliance.
Demonstrable past projects in AI call agents or appointment-booking bots.
Ability to deliver a production-ready system, not just a prototype.

Project basis with potential for long-term partnership.
Open to international specialists, but must deliver UK GDPR-compliant solutions.
