Fixed term contract for maternity cover approx. 10 months dependant on start date.



Role Purpose:



Join our transport team to help book travel for our tours and manage related services. You'll handle daily transport admin tasks, update travel details, and share accurate information with suppliers and other teams. You'll also manage schedule changes or cancellations to avoid disruptions and support the team if any transport issues come up during tours. This role includes occasional weekend on-call duty (about one weekend every 10 weeks).

Key Responsibilities:



The Transport department is split into the 3 different teams, you will be a part of the aviation sector however, the role is interchangeable.

Overview of responsibilities:



Actioning any upgrade requests. Liaise directly with airlines suppliers. To book any ancillary travel services such as individual flight requests. Create and issue letters/emails to advise of changes. Any general admin jobs that need to completed like claiming tax refunds. To price and book extras, request airport assistance and complete name changes. Book flights using our in-house system and via airline websites in line with the package budget. To complete pre departure checks within the required time frames. Action schedule changes, updating required departments and the system. Liaising closely with the Flights Purchasing team. Monitoring E-mail inboxes and answer queries from other departments. Liaising with guests and submitting compensation claims for disrupted flights.

Skills, Experience & Qualifications



High level of accuracy and attention to detail. High ability to be able to self-manage own workload and recognise how to prioritise your own work. Excellent communication skills both written and verbal with clients and suppliers via phone. Effective problem-solving skills and ability to think outside the box. Excellent organisational skills and time management to ensure deadlines are met. Basic Excel experience preferred, as spreadsheets are an integral part of the department records. Ability to work under pressure. Take ownership and responsibility of workloads under little or no supervision. A willingness to be flexible with working hours and responsibilities.
