The post of Allotments & In Bloom Officer will support the Town Clerk in helping the Council achieve its statutory obligations and community objectives. The role is varied and will also involve: - managing Town Council Allotments; carrying out the role of Clerk to the Bognor Regis In Bloom Working Group. The post is part time (15 hours per week) and will primarily be based at the Town Council offices in the Town Hall. Some evening and weekend work may be required, to attend meetings or civic functions, for which time off in lieu will be given. This position is being advertised on a 12-month fixed term contract with a view to it becoming permanent.
Responsibilities
Day-to-day running of allotments in liaison with Tenant Representatives, including issuing Notice to Cultivate & Notice to Quit notices
Site visits - new tenants, maintenance and H&S checks
Preparation and completion of documentation, including Tenants Agreements, key deposits and holding fees, plus collection of fees
Preparation of Agenda and Reports for annual AGM, clerking of meeting and production of Minutes
Preparation of Agenda and Reports for bi-annual meetings, clerking the Sub-Committee and production of Minutes
Preparation for the annual awards, including paperwork for judges and organisation of awards evening
Preparation of regular newsletters and updates to tenants
Maintenance of Allotments database
Contributing to Allotments page on Town Council website and Facebook
Requirements
Good standard of education, preferably to A level or equivalent, to include minimum grade C GCSE in English and Maths
Excellent oral and written communication skills including an ability to relate to, and communicate with, councillors, staff, members of the public, and external agencies
Office and administrative experience with excellent IT skills to produce documents including agendas, reports, and notes/minutes. Confident in posting to social media
A strong team player
Experience of working on own initiative without supervision
Experience of organising meetings, presenting information effectively, and taking notes for publishing
Numeracy skills to check invoices and to monitor and maintain budgets
