Appointments Lead

to join our team in Chichester. This pivotal role will ensure the smooth coordination of client appointments, supporting both our care teams and service users to achieve the highest standards of care and efficiency.


About the Role

As our Appointments Lead, you will be the cornerstone of our scheduling operations. You will manage appointment bookings, liaise with healthcare professionals, clients, and carers, and maintain accurate records. Your ability to communicate clearly and manage multiple priorities will be essential to ensure seamless daily operations and excellent client satisfaction.


Key Responsibilities

Team Leadership & Line Management

Manage, support and develop Appointment Coordinators. Conduct regular 1:1s, provide feedback, oversee performance and development. Support onboarding and training of new team members. Lead probation reviews with clear goals and progress monitoring. Foster a positive, collaborative team culture. Lead or participate in required formal line-management meetings.

Appointments Oversight & Coordination

Oversee accurate, efficient scheduling across all service areas. Ensure coordinators maintain up-to-date calendars and tracking tools. Monitor scheduling to optimise clinician capacity. Approve or support decisions on allocation, rescheduling and capacity changes.

Operational Problem-Solving & Escalation

Resolve complex scheduling issues and capacity conflicts. Act as escalation point for appointment-related queries. Implement solutions that reduce delays, cancellations and inefficiencies. Identify recurring issues and address root causes.

Communication & Stakeholder Support

Provide clear, supportive communication to patients, families, clinicians and internal teams. Ensure timely, consistent messaging from coordinators. Liaise with Clinical Operations leadership to maintain workflow alignment. Strengthen clinician relationships through clarity on scheduling processes.

Quality Assurance & Compliance

Ensure appointment processes meet internal standards and data protection requirements. Oversee documentation accuracy, data entry and tracking. Support audits and maintain GDPR and confidentiality compliance.

Service & Process Improvement

Identify and implement improvements to scheduling systems and communication processes. Monitor performance data, report trends and recommend enhancements. Drive initiatives that improve patient experience, clinician satisfaction and operational efficiency.

Qualifications and Skills

Previous experience in healthcare administration, appointment coordination, or a related role within health, nursing, or social care sectors. Excellent organisational skills with the ability to multitask and prioritise effectively. Strong communication skills, both verbal and written, with a friendly and professional manner. Proficient in using scheduling software and Microsoft Office applications. Understanding of confidentiality and data protection requirements within healthcare. Ability to work independently and as part of a team in a fast-paced environment. A positive attitude and a commitment to providing excellent customer service.
