OVERVIEW




Decoded is looking for a friendly, enthusiastic and motivated Apprentice People & Office Coordinator to join our People Team. This is a fantastic entry-level opportunity for someone at the start of their HR career to gain hands-on experience in core HR operations while working towards a recognised apprenticeship qualification. You'll play an important part in supporting the employee lifecycle, from onboarding to offboarding, and contribute to a smooth, people-first employee experience.


As part of your role, you will complete the Level 3 HR Support Apprenticeship. To be eligible for this programme, you must be based in England. Relocating to another part of the UK or abroad, for example, to Ireland, Scotland, Wales or anywhere outside of England would make you ineligible for the apprenticeship.

ACCOUNTABILITIES




As an Apprentice People & Office Coordinatorat Decoded, you are accountable for:

Supporting key stages of the employee lifecycle, such as recruitment, onboarding, internal changes, and offboarding, to help provide a smooth and consistent people experience Carrying out HR administration tasks across the employee lifecycle Updating our HR systems and records accurately and promptly Helping to organise our annual calendar of employee engagement activities and team events Supporting compliance with company policies, processes, and documentation requirements Assisting with the day-to-day running of our office environment (currently a private office within a co-working space) Maintaining confidentiality and handling sensitive information with care

SPECIFIC ROLE & RESPONSIBILITIES



Recruitment



Support the coordination of recruitment processes, including advertising roles, conducting screen calls and scheduling interviews Maintain accurate candidate records and ensure compliance with our safer recruitment policies. Liaise with hiring managers to support smooth and timely recruitment activity.

Onboarding



Carry out pre-onboarding tasks such as right-to-work checks and DBS checks (where applicable) Upload new starters to our HR system, HiBob Carry out onboarding tasks required on and after an employee's first day, such as delivering People & Office inductions Liaise with hiring managers and our technology team to arrange laptops and system access, and coordinate with new hires on the delivery of their equipment to their homes

Engagement & performance



Support reporting on employee engagement survey results and assist the Senior Leadership Team with initiatives Trigger employee probation reviews and annual review cycles Support reporting on company and departmental goals/OKRs

Offboarding



Carry out offboarding tasks as set out in our HR system, such as deactivating benefits and removing employees from company documentation Ensure line managers work with the tech team to complete tech offboarding on the employee's last day Ensure leavers return their laptops to the company via our posting process Provide factual employment references to new employers for leavers, in line with company policy

Compliance

Office management & remote working



Helping to create a positive and productive working environment for the Decoded team Assisting with managing the relationship with our co-working space Supporting employees in getting the equipment they need for home working Sharing updates with the team about office arrangements and home working

Culture



Working with the People Manager and Senior Leadership Team to drive the culture of Decoded Supporting with organising team events, including Decoded Get Togethers, Virtual OKR updates and our Christmas lunch

We're looking for someone who is organised, proactive, and eager to learn. You don't need prior HR experience, just a willingness to get stuck in and build your career in a supportive environment. DAY TO DAY




Our standard working hours are 9 am to 5 pm, Monday to Friday. As we work with clients across different time zones, occasional flexibility may be required.


1 day of the week will be allocated towards completing your apprenticeship.


This role can be carried out remotely, but you'll need to visit the London office 2-4 times per month to ensure it's maintained to the required standard.


You'll be encouraged to plan your working day around achieving the best outcomes, prioritising projects based on business needs.
