Job Description

The Assistant Practice Manager supports the Practice Manager in overseeing the daily operations of the practice. This role bridges the responsibilities between the Practice Manager and the Head Clinic Host, ensuring that compliance, operational standards, and team performance are consistently achieved. The Assistant Manager focuses on implementing practice policies, supporting staff development, monitoring KPIs, and managing day-to-day issues, ensuring the Practice Manager can concentrate on strategic and financial leadership.

Key Responsibilities

1. Operational Support

Support the Practice Manager in delivering smooth day-to-day operations across reception, clinical, and patient services. Ensure front-of-house and clinical support teams follow Banning Dental Group SOPs and workflows. Act as the deputy in the absence of the Practice Manager, ensuring continuity of operations. Oversee rota planning, staff cover, and ensure operational gaps are escalated early.

2. Compliance & Quality Assurance

Conduct regular spot-checks and mini-audits (infection control, record-keeping, recalls, debt management, diary utilisation) and report findings to the Practice Manager. Monitor compliance with GDC, CQC, and Health & Safety requirements, escalating risks immediately. Support the Practice Manager with preparation for inspections and audits.

3. Staff Leadership & Development

Line-manage the Head Clinic Host and support their delivery of front-of-house KPIs. Provide coaching and mentoring for reception and clinical support staff. Lead daily/weekly huddles when delegated. Support new starters with induction, probation monitoring, and performance reviews.

4. Patient Experience

Ensure the "6-star service" model is consistently applied. Monitor patient satisfaction feedback and escalate complaints to the Practice Manager. Ensure recall and reminder systems are working effectively, troubleshooting breakdowns with the Head Clinic Host. Ensure Smile Club and treatment plan conversion targets are supported.

5. Finance & Reporting

Support debt management by monitoring daily reports, ensuring actions are followed up by front-of-house staff. Ensure cashing-up procedures, daily banking, and reconciliation are carried out correctly, escalating discrepancies. Collate and present weekly KPI performance dashboards for review with the Practice Manager.

6. Communication & Liaison

Act as a link between the Practice Manager and the wider team. Ensure consistent communication of updates, initiatives, and changes from management to staff. Represent the practice in manager meetings or calls when required. Skills & Qualifications Previous experience in a senior dental/healthcare role, ideally as a Head Receptionist, or Head Clinic Host Strong understanding of dental practice operations, workflows, and compliance. Confident in using practice management software (Dentally, RotaCloud, call recording systems). Excellent communication, leadership, and coaching skills. Highly organised, detail-oriented, and able to manage multiple priorities.

Job Types: Full-time, Permanent

Pay: Up to 30,000.00 per year
