Job Description

The role of Assistant Examinations Officer is to assist the Senior Examinations Officer with their responsibility for the administration of all internal and external examination entries, in accordance with the regulations of Awarding Bodies. To work with the director of studies leading on quality of education to ensure that assessments and examinations are timely and appropriate and enable our students to achieve success.

Summary of duties



GENERAL



Keep up to date with all annual publications as regards changes to regulations, guidance, deadlines relating to exams administration from JCQ, Cambridge assessment English, Cambridge international and other awarding bodies.

Be a member of 'The Exam Officer Support Group' and keep up to date with training.

To assist in keeping all Stonyhurst examinations policies and procedures up to date

To help prepare invigilation timetables for internal and external examinations.

Help to resolve any examination clashes.

Keep the MIS up to date with UCI numbers.

To assist writing seating plans for all internal and external examinations

Liaise with the Domestic Bursar and other staff for the arrangement and booking of exam rooms.

Ensure exam rooms are set up and are fit for purpose.

Help to manage the team of invigilators including recruitment, training, and keeping accurate time-sheet records for accounts.

Work with the school SENCO to ensure SEN access arrangements are in place and guidelines adhered to.

Ensure appropriate resources are available during exam series: bilingual dictionaries.

Help to manage requests for special consideration.

Liaise with Admissions to arrange scholarship examinations for internal and external pupils.

Maintain accurate accounts records for examination costs per pupil, reviews of marking, scripts.

Be prepared for JCQ inspections.

EXAM ADMINISTRATION



INTERNAL EXAMS



Work with the Director of Studies to identify internal exam dates.

Attendance at relevant calendar clash and forward planning meetings

Liaise with Heads of Department re. mock examination requirements

Coordinate safe storage and organisation of all internal examination papers.

EXTERNAL EXAMS



Help to complete all external examination entries including amendments.

Help to produce the external examinations timetable.

Manage the reviews of marking and script request process after results.

Help to manage the submission of coursework/NEA.

Manage the sorting and dispatch of certificates.

EXAMINATION SESSIONS RESPONSIBILITIES



Be responsible for safe and secure storage of papers and stationery.

Thorough Exam session preparation of all exam papers (incorporating confirmation with the relevant exam boards to ensure all supporting documents are provided i.e formulae books, clean texts) and being a knowledgeable and reassuring presence at the start of all exams to ensure correct procedures are followed.

Professional and Personal Qualities



Experience of working as an Exams Officer or similar role in a school environment.

Up to date knowledge of Exam regulations and best practice.

Unswerving attention to detail

Confident and calm when working to deadlines.

An excellent level of ICT competence including experience of using Excel, Word, and Microsoft Outlook. A working knowledge of the ISAMS management information system would be desirable.

To have a confident, but also warm and welcoming manner.

To be flexible and adaptable to the operational needs of the Exams Office and the College as a whole.

General Information



This is a full time, full year post. The regular working week will be based upon 40 hours.
