Assistant Facilities Manager - Kent

An exciting opportunity has arisen to join our Facilities Management Team on our successful account!

Reporting to the Defra Facilities Manager the role will manage and oversee the delivery of day-to-day facilities management, ensuring all legal and contractual requirements are met. In addition, the successful candidate will provide administrative support and ensure all site documentation is maintained and up to date at sites within their nominated portfolio.

Responsibilities

  • Building a comprehensive working knowledge of the site(s) the role will be responsible for ensuring all legal and contractual service elements are delivered to standard, within target time, meeting key performance indicators.
  • Undertake asset verification ensuring findings are correctly reported and issues rectified.
  • Management of site documentation so that it is complete, up to date and maintained in line with company standards.
  • Being the primary onsite representative, they will manage and enhance client relationships on a day-to-day basis through effective communication and collaborative working.
  • Take the lead on reporting reactive faults, and the responsibility that they are completed in a satisfactory period of time
  • Working with in-house and contracted staff to ensure PPM\'s are up to date and SLAs are met.
  • Responsibility for contractor management, helping contractors adhere to policies and procedures.
  • Oversee provision of cleaning services via Mitie cleaners.
  • Achieve compliance with all relevant H&S and environmental legislation.
  • Ensure all statutory compliance is up to date and reported monthly
  • Participate in the Health and Safety Policy of the company, actively reporting any dangers, hazards or other issues that may be encountered to the appropriate person
Knowledge, Skills and Experience

Required:
  • An effective communicator able to build positive collaborative relationships with colleagues, our customers and contractors.
  • High level of customer care skills with a customer service focussed approach
  • A flexible approach with the ability to work as part of a team and motivated to be able to work with minimal supervision, lone working at times.
  • Strong attention to detail, able to maintain accurate records.
  • Show initiative, with an ability to problem solve.
  • An understanding of facilities services and maintenance activities
  • IT literate and proficient with Microsoft Office and experience of CAFM systems, preferably Maximo
  • Demonstrates flexibility in working hours with the ability to work under pressure and prioritise challenging workloads
  • Able and willing to travel between sites to deliver responsibilities of the role
  • Demonstrates the ability to maintain confidentiality
Desirable:
  • Trained first aider
  • Manual handling training
  • Awareness of DDA compliance
