Are you an experienced and proactive leader with a passion for operations, team management, and exceptional service delivery? We are seeking an
Assistant Manager
to join our dynamic estate team, acting as the key link between management and the concierge team, ensuring smooth day-to-day operations and a first-class resident experience.

Key ResponsibilitiesOperational Oversight
Supervise the concierge and parcel team daily, ensuring consistent service delivery.
Prepare and manage staff rotas, arrange cover, and approve holiday and sick leave requests.
Support staff performance through one-on-one coaching, feedback, and guidance.
Step in for the Estate Manager when required, maintaining full operational oversight.
Produce and submit weekly and monthly operational reports for management and the developer.
Ensure all documentation, compliance records, and procedures are accurate, up to date, and properly implemented.
Attend daily briefings with the Estate Manager and Maintenance Operative to review priorities and urgent issues.
Communication & Resident Liaison
Manage escalated complaints and complex resident or leaseholder queries.
Respond to resident communications beyond concierge scope via email or Dwellant.
Draft and review estate communications such as newsletters, notices, and announcements.
Liaise with contractors and suppliers to coordinate works and resolve issues.
Team Leadership & Staff Management
Lead, motivate, and train concierge staff to maintain high standards of service.
Conduct first-stage interviews and support the recruitment process for new team members.
Manage onboarding, training, and ongoing performance reviews.
Prepare disciplinary documentation and attend meetings where necessary.
Supervise agency and temporary staff when on-site.
Order and manage supplies for the concierge team and estate.
Administrative & System Management
Maintain operational spreadsheets (e.g., compliance checks, asset registers, lighting tests).
Organise documentation for audits, compliance, and reporting.
Keep SOPs updated and filed in line with estate policy.
Manage the key log and ensure access control procedures are strictly followed.
Assist with invoicing, audits, and administrative reporting.
Regularly inspect team equipment to ensure proper function.
Access Control
Program, activate, and deactivate resident, staff, and contractor fobs.
Manage fingerprint access registration and system synchronization.
Perform weekly data backups to ensure access control integrity.
Review fob usage logs and assist with internal investigations.
Quality Control & Compliance
Conduct regular estate and documentation audits to ensure compliance with safety and SOP standards.
Review and escalate CCTV investigations conducted by the concierge team.
About You
Strong background in operations, front-of-house, or estate/concierge management.
Proven leadership skills with the ability to motivate and support a team.
Excellent communication and organisational abilities.
Proficient in Microsoft Office and estate management platforms (e.g., Dwellant).
Professional, proactive, and solutions-focused approach.
Flexible and reliable, with strong attention to detail.
