The Pump House is also available for events (weddings, birthdays, corporate events, etc). We are open from the takeaway window for the public and have a garden spa that is managed/maintained by the front of house team.

Role Description
The Assistant Manager supports the Operations Manager in delivering day-to-day operational excellence across the co-working space, garden spa, cafe, events, and facilities. This role takes primary responsibility for stock control, facilities coordination, financial tracking, and operational reporting, ensuring the Operations Manager has accurate information for decision-making and oversight.
Key Responsibilities
Daily Leadership & Staff Support
Support the Operations Manager in leading shifts and maintaining service standards.
Act as the senior team member on the floor when the Operations Manager is not present.
Assist with staff training in cafe operations, customer service, and co-working procedures.
Provide daily staff direction and support with rota implementation.
Staff rotas, ensuring adequate coverage at all times in the manager's absence.
Stock Management (Lead Responsibility)
Take full ownership of stock control across cafe, spa, cleaning supplies, retail items, and operational consumables.
Conduct regular stock counts, reconcile discrepancies, and maintain accurate stock records.
Order stock in line with budgets and usage patterns.
Track waste, stock movement, and cost efficiency for cafe and spa items.
Maintain supplier relationships and report issues or pricing changes to the Operations Manager.
Oversee daily building checks, cleanliness standards, and operational readiness.
Coordinate repairs, contractors, health & safety checks, and preventative maintenance - tasks and report larger issues to contractors
Ensure log burners, spa facilities, coworking areas, and meeting rooms are safe and properly prepared.
Maintain checklists for cleaning, spa operations, equipment, and building presentation.
Track gross profit, wastage, COGS, stock valuation, and weekly cafe/spa performance figures.
Prepare draft performance reports for the Operations Manager.
Assist with budget preparation and monitoring throughout the year.
Manage daily till reconciliation, cash handling, and banking checks as required.
Maintain accurate operational data for forecasting and decision making.(Operations Manager reviews, checks, and signs off on all financial work.)
Supplier & Contractor Management
Manage relationships with suppliers for cafe, spa, maintenance, waste disposal, and events.
Negotiate pricing and contracts where appropriate.
Ensure contractor performance meets The Pump House standards.
Maintain procurement schedules and service agreements.
Customer Experience
Deliver excellent customer service to coworking members, spa guests, cafe customers, and event clients.
Handle in-the-moment complaints or issues, escalating when necessary.
Ensure a welcoming environment that reflects The Pump House brand.
Event & Spa Support
Assist with setup, staffing, and smooth running of events.
Support spa bookings, guest management, and operational readiness.
Liaise with the Operations Manager on event needs, logistics, and staffing.
Health, Safety & Food Hygiene
Support compliance across all departments under the Operations Manager's leadership.
Ensure cafe, spa, and coworking areas meet hygiene and safety standards at all times.
Maintain H&S checklists, report incidents, and ensure staff follow procedures.
Systems & Administrative Support
Use POS, booking systems, stock systems, and maintenance logs accurately.
Prepare daily handover notes for the Operations Manager.
Organise documentation relating to stock, GP figures, and maintenance activity.
Personal Attributes
Highly organised, analytical, and detail-focused.
Hands-on, proactive, and able to work independently.
Strong communicator with a calm and positive approach to teamwork.
Comfortable balancing physical duties with administrative tasks.
Scope of Role
The Assistant Manager leads operational foundations--stock control, facilities, financial tracking, and daily coordination--while the Operations Manager provides strategic oversight. This structure ensures efficient, accurate, and well-supported operations at The Pump House.
