Assistant Project Administrator & Procurement Coordinator



Location:

Slough Head Office

Salary:

21,000 - 25,000 (dependent on experience)

Project Manager / Head of Construction

Full-time, Permanent

Office Timing:

8:00 AM to 6:00 PM

Role Purpose



To provide high-quality project administration, procurement support, and supplier coordination across Proactive Construction projects. This role is ideal for someone

ambitious, hardworking, and eager to build a long-term career

in the construction and facilities sector. The successful candidate will support day-to-day operations while developing into a more senior project or procurement role over time.

Key ResponsibilitiesProject Administration



Maintain project folders, documentation, drawings, RAMS, and compliance files. Update Odoo/CRM/Project Management systems with accurate project data. Prepare quotations, estimate templates, and assist with pricing exercises. Organise job packs, site schedules, and project calendars. Support project managers in day-to-day coordination and reporting. Assist with drafting subcontractor contracts and issuing project instructions. Monitor project progress and chase required documentation from subcontractors.

Procurement & Supplier Coordination



Source construction materials, request quotes, and negotiate supplier pricing. Raise purchase orders and track deliveries to multiple live project sites. Build a database of approved suppliers, pricing, and product comparisons. Liaise with merchants, suppliers, and subcontractors daily. Assist in procurement cost control and budget monitoring.

Estimating & Invoicing Support



Assist with building simple estimates and material take-offs. Help prepare project invoices, valuations, and job costing sheets. Support the finance team with documentation required for invoicing. Track variations, additional works, and approval documentation.

Operational Support



Organise site inductions, health & safety paperwork, and compliance forms. Prepare meeting notes, minutes of meetings, and follow-up action lists. Provide administrative support across planning, scheduling, and logistics. Support internal communication between site teams, subcontractors, and clients.

Skills & Experience RequiredEssential



Strong organisational and administrative skills. Excellent attention to detail and ability to work under pressure. Confident communicator with suppliers, subcontractors, and internal teams. Good IT skills (Excel, Word, Odoo/ERP experience beneficial). Ability to multitask across several live projects. Driven, hungry to grow, and committed to long-term career development. Positive attitude, eager to learn, and takes initiative without being asked.

Desirable



Experience in construction admin, estimating, or procurement (not required but beneficial). Understanding of construction materials, suppliers, and terminology. Previous experience in a fast-paced operations or project-based environment.
