Purpose of the job
To provide a comprehensive property management and administrative support service to the AST management department function of the Property Management Department. The post holder requires excellent organisational skills, must be flexible and able to consistently demonstrate a high professional approach.
Administrative Duties
Assist Property Management with the day to day operations and tenant relations through the coordination of tenant requests and administration of maintenance services.
Answer and route phone calls from tenants, vendors and clients to the appropriate contact within Salter Rex LLP.
Provide tenants and clients with assistance in all aspects of scheduling building maintenance and repairs, communicating building procedures and supplying general building information where required.
Provide high quality of customer service, update and maintain current daily and emergency tenant contact lists and tenant information manuals.
Provide support to the AST Manager by producing, modifying and /or distributing various forms, spreadsheets, manuals, information packages, and miscellaneous type-written information.
Process correspondence for tenants, contractors and other third parties for Property
Management staff.
Maintain and update any certificates, e.g. gas safety, electrical installation, EPC, Fire.
Handling and management of key logging
Handling and management of maintenance and repair works, including raising work orders and assisting with scheduling contractor appointments where necessary.
Contribute towards overall office operational needs by helping to provide phone coverage.
Maintain and update as necessary all tenant contact information and after hour access for duty managers.
Handle miscellaneous assignments as requested by management.
Maintaining highly organized filing system for the AST department, including the filing of documents on a regular basis.
Assist AST Manager as needed on special projects.
Assist with the coordination of rent collections where required.
Dealing with tenancy life cycle administration, including organising check in and out reports, and deposit registration.
Producing rent statements and authorising invoices when cover is required.
Assisting with incoming and outgoing post communications.
Additional duties
Provide front office cover where required
Handle tenant, client, vendor and prospective tenant walk-ins
Assist AST Manager with tenant relations as required
Experience/skill set to include:
Good knowledge: computer skills, incl. MS Office Suite
2-3 years repairs & maintenance experience in an AST office environment
1-2 years administrative experience
Familiarity with facilities operations
Excellent customer service
Efficient and effective use of grammar
Strong ability to work independently; Ability to research and problem solve
Demonstrated knowledge of phone and email procedures and etiquette
Ability to prioritize and meet deadlines.
Strong attention to detail
Able to work under pressure
Honest, reliable and friendly/outgoing personality with a can-do attitude and customer focus.
