The Role:


We are seeking a dynamic assistant Property Manager who thrives in a fast-paced environment and is eager to take ownership of client portfolios while contributing across multiple areas of our growing business. The successful candidate will play a vital role in streamlining day-to-day operations, supporting process improvements, and enhancing efficiency within the organisation. This position is ideal for someone who is organised, enthusiastic, and ready to take initiative on a wide range of tasks, from tenant onboarding to property inspections, while working closely with the Directors as experience is gained in the role. You will spend approximately one day per week travelling to visit sites, sometimes more frequently as required.

Key Duties/Responsibilities:

Client Portfolio Management:

Take full ownership of assigned client portfolios, proactively managing all aspects of property operations. Monitor and measure key performance indicators (KPIs) including property occupancy rates, average rent, and maintenance response times. Analyse performance data and make strategic recommendations to improve portfolio performance and client satisfaction. Participate in regular client review meetings alongside the Relationship Manager to present progress reports, discuss challenges, and propose solutions.

Tenant Management & Onboarding:

Process tenant paperwork with meticulous attention to detail. Oversee the complete onboarding process for new sites and tenants, ensuring smooth transitions and compliance with all requirements. Handle existing tenant queries promptly and professionally, maintaining high standards of customer service. Administrate and process tenant paperwork and licensee agreements. Investigate and resolve tenant complaints with professionalism and efficiency, ensuring positive outcomes for all parties. Maintain accurate tenant records and ensure all information is current in the property management system.

Property Operations:

Work closely with operations team to support with maintenance requests and work orders across managed sites, coordinating repairs with contractors and processing documentation for payment. Organise and conduct periodic site visits to inspect vacant units, sign off completed works, carry out surveys and investigate emerging issues. Follow up on outstanding orders and maintain strong supplier/contractor relationships.

Contractor & Vendor Management:

Coordinate with the operations team to obtain competitive quotations for capital expenditure and major works projects as required. Research and evaluate new contractors for ad-hoc projects and expansion into new regions.

Reporting & Business Development:

Prepare reports and presentations for Directors, including performance metrics, operational challenges, and strategic recommendations. Lead mini-projects aimed at improving business processes and operational efficiency. Maintain accurate records through precise data entry across all property management systems.
