Assistant Purchasing Officer

to join their dedicated buying team.

Role Overview:



As an Assistant Purchasing Officer, you will play a key supporting role within the Procurement Department. You will assist with sourcing, ordering, and tracking inventory--including tools, equipment, and supplies--to ensure timely delivery and optimal stock levels. Working closely with the Purchasing Manager and other departments, you will help maintain strong supplier relationships and accurate procurement records, contributing to operational efficiency and the company's long-term growth.

Key Responsibilities:



Procurement Support



Assist in sourcing suppliers and obtaining quotations for tools, machinery, and related products. Support negotiations on pricing, delivery terms, and supplier agreements.

Purchase Order Management



Prepare, issue, and follow up on purchase orders based on requisitions and stock levels. Monitor open orders and follow up to ensure on-time deliveries and avoid stockouts.

Inventory Monitoring



Track stock levels and assist in generating reordering reports. Coordinate with warehouse staff to ensure inventory accuracy and resolve discrepancies.

Supplier Coordination



Maintain up-to-date supplier records, product catalogues, and pricing databases. Assist in reviewing supplier performance and support the development of long-term partnerships. Promote purchasing strategies that enhance competitiveness and gross margin.

Documentation & Compliance



Ensure procurement processes are accurately documented and compliant with internal policies. Maintain records of invoices, delivery notes, and purchase history for audits.

Cross-Functional Collaboration



Liaise with Sales, Service, and Warehouse teams to understand product needs and timelines. Clarify technical specifications and product requirements when needed.

Issue Resolution



Assist in resolving issues related to delivery errors, damaged goods, invoice mismatches, or late shipments.

Market Awareness



Stay informed on market trends, pricing developments, and new product introductions in the tools and equipment sector.

Candidate Profile:



Essential:



Minimum 2 years of experience in purchasing, procurement, or inventory management. Proficiency in Microsoft Excel and familiarity with procurement or inventory systems. Excellent organisational and communication skills. Strong attention to detail with the ability to manage multiple tasks in a fast-paced environment. A proactive, team-oriented attitude with a solutions-focused mindset.

Desirable:



Experience within the tools, hardware, or industrial equipment industry. Knowledge of technical product specifications, machinery, and related terminology.

Working Conditions:



Office and warehouse environment. Occasional travel to suppliers or trade events may be required. Standard working hours, with flexibility as needed to meet operational demands.
