Role Overview
We are seeking a highly organised, professional, and discreet
Personal Assistant
to directly support the CEO while also coordinating broader operational responsibilities including logistics, light marketing, and administration.
This is a
fully on-site role
requiring initiative, flexibility, and excellent communication. You will serve as the first point of contact for the CEO, manage confidential matters, and help ensure the company runs smoothly day-to-day.
Key ResponsibilitiesCEO Executive Support:
Manage CEO's calendar including internal/external meetings, calls, appointments, and events
Coordinate domestic and international travel and conference logistics
Prepare agendas, meeting materials, take minutes, and follow up on actions
Act as gatekeeper for external communications (customers, distributors, suppliers)
Handle confidential correspondence and documentation professionally
Support internal and external communication scheduling for the CEO
Administrative & Operational Support:
Book travel and accommodation for staff company-wide
Coordinate shipments to customers and international distributors
Oversee logistics for trade shows, events, and client visits
Track inventory, office supplies, and consumables
Liaise with service providers and suppliers (utilities, couriers, etc.)
Report on inventory, logistics, and admin tasks to the CFO when required
Assist Directors with ad-hoc coordination
Light Marketing Support:
Assist with basic content such as social media posts or email newsletters
Prepare simple visuals via Canva or coordinate with marketing team
Help manage materials and logistics for branded events or exhibitions
Reception & Office Coordination:
Welcome and host guests, clients, and visitors
Support meeting room setup and hospitality needs
Maintain internal filing systems and well-formatted documents
Assist with report preparation, PowerPoint presentations, and internal communications
What We're Looking For
1-3 years experience as a PA, EA, Office Coordinator, or Administrative Assistant
Highly organised, proactive, and confident multitasker
Excellent communication and interpersonal skills
Discreet and professional when handling sensitive information
Comfortable working independently and with senior leadership
Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint)
Full UK driving licence
(required)
Able to work on-site daily at our Coalville office
Open to national/international travel for events or conferences
Preferred Skills & Experience
Experience supporting company Directors or C-suite executives
Previous experience in logistics or travel coordination
Basic marketing experience (e.g. Canva, newsletters, or social media platforms)
Exposure to event planning or exhibitions is a bonus
