is an exclusive private members Club with a Grade IIlisted Clubhouse in the heart of London. The Club has 46 bedrooms, a fine dining restaurant, 3 banqueting suites, 2 bars, 2 squash courts, a billiards room and extensive libraries. The Club has nearly 5000 members

Salary

37,500 -40,000 PA plus Service Charge 40 Hours per week.

Responsibilities



Executive



Administration



Support the Club Secretary & Chief Executive in all matters as requested.

Building and Fabric Committee - prepare agenda, collate Committee papers and circulate papers and minute the meetings.

Catering and Services Committee - prepare agenda and various supporting papers, circulate and papers and minute the meetings. Liaise with the Committee member responsible for Reciprocal Clubs making contact with new clubs as directed; Keeping a record of clubs approached and updating Committee member in advance of meetings; producing an update report for Committee.

Minute other ad hoc meetings as required.

Membership

-

Assist membership with recruitment receptions/fairs and provide prospective members with tours of the Club house when required.

Banqueting - Assist banqueting and events as and when needed which may also include attendance at an event to assist with a specific duty as directed by the Club Secretary & Chief Executive.

Carry out reasonable requests given by the Club Secretary & Chief Executive and Executive Team

Communications



External



Main Club Email Address

-

Filter and respond to general enquiries received in the Club's main email address.

Preparing weekly eNewsletters and ad hoc targeted eNewsletters.

Preparing and posting approved content to the Club's social media accounts and accepting requests to join from Facebook and LinkedIn from members.

Updating the website to ensure the content is kept current.

Maintain notice boards with up-to-date information including the SDR digital notice board.

Human Resources



Provide support administration support as required: on boarding and off boarding, training, performance, HR projects and minute disciplinary meetings if necessary.

Assist with maintaining training records of compliance training including Fire, Hygiene, Health and Safety and other relevant legislation requirements within the department.

Assist with maintaining GDPR records.

Assist to ensure employee files are up to date and correct. This will include, Right to Work and Contracts of Employment.

To ensure that all HR matters are dealt with in a professional manner which focuses on confidentiality, respect and as per policy and procedures set out in the Staff Handbook.

To provide support at informal meetings and to also act as a minute taker within personnel formal settings.

The administration of Employee Awards Schemes.

The administration of Staff Council and minute meetings.

Update Staff Information Booklet

Prepare Staff Birthday Cards for Secretary to sign.

Standards



Ensure you are at your workplace at the start time of your shift in correct uniform. Standards of personal hygiene and grooming are adhered to as per grooming standards policy. Attend all training as requested e.g., First Aider, manual handling, and food safety. Report any problems to the appropriate Head of Department. Professional approach to all aspects of communications. To act as a positive role model and ambassador of the Oxford and Cambridge Club, at all times.

Positive approach to duties. Excellent administration and presentation skills. Measured and caring approach when engaging both colleagues and members.
