Role Overview
The Association Manager will act as co-lead for a global healthcare client within ICS's Association Management Team. This role combines the strategic oversight expected of ICS leaders with specialised responsibility for the client's education and learning platforms, and marketing strategy. You will collaborate closely with client leadership, committees, and external partners to advance the client's mission, improve member value, and ensure operational and digital excellence.
Strategic Client Management
In coordination with the Client Lead:
Lead client board and committee meetings: agenda development, governance alignment, minute-taking, and strategic follow-up.
Serve as the senior point of contact, ensuring timely and strategic responses to complex client inquiries.
Develop and deliver presentations, reports, and materials to support strategic decisions.
Manage board and committee elections, appointments, and succession planning.
Client Education Program
Oversee the full project cycle of online courses, including coordination with course leaders, speaker onboarding, and quality control.
Liaise with platform vendors to manage backend operations, user experience, and content delivery.
Ensure smooth speaker management (documents, bios, recordings, quizzes) and technical oversight of uploads and recordings.
Prepare and submit EACCME accreditation documentation for each course.
Monitor user engagement and analytics, generating reports and identifying improvement opportunities.
Respond to user queries and troubleshoot platform issues with external contractors.
Marketing Strategy & Communications
Reporting to the Client Lead:
Develop and implement a marketing strategy tailored to the education portal and wider client initiatives.
Coordinate content creation and delivery (social media, newsletters, brochures, campaigns) with internal teams and contractors.
Lead promotional campaigns including for global and regional events.
Participate in regular website and social media planning meetings to ensure consistency and relevance of digital content.
Digital Transformation & Strategic Projects
Co-develop and manage a strategic plan to integrate education portal, journal, community hub, and reporting platform.
Source and evaluate vendor solutions, securing competitive quotes and supporting contract processes.
Oversee digital project execution, timeline management, and budget accountability.
Participate in internal client task forces and contribute progress updates.
Essential Qualifications & Experience
Experience in association or nonprofit management.
Strong technical understanding of learning management systems (LMS) and platform integrations.
Proven success in marketing strategy, digital communications, and stakeholder engagement.
Project management skills, including cross-team coordination and vendor oversight.
Experience with accreditation processes (e.g., EACCME) is desirable.
Skills & Attributes
Strategic thinking with hands-on execution capability.
Leadership capability and influence across stakeholders and teams.
Excellent verbal and written communication in English; additional languages a plus.
Technically proficient with Microsoft 365 suite, online collaboration tools, and CRM/AMS systems.
Social media and content creation knowledge (LinkedIn, Instagram, X, YouTube).
Comfortable working in fast-paced, multicultural environments across time zones.
High attention to detail and service orientation.
Preferred Experience
Familiarity with Personify Wild Apricot or other AMS platforms.
Experience managing remote teams and engaging global scientific communities.
Basic knowledge of HTML, website CMS tools, or video editing software.
Experience with vendor selection and managing procurement for digital tools.
