Job Title: Lettings Negotiator / Senior Negotiator (dependent on experience)
Department: Residential Lettings
Location: Brighton Office
Hours: Monday to Friday 09:00 - 17:00 - 1 hr lunch break (35hrs) (additional hours when necessary, depending on the needs of the business)
Report to: Lettings Manager
Holiday Allocation: 25 days per annum (plus Bank Holidays)
Commission: You will receive 10% commission on the net deal value of all new business generated
Salary: 25,000 - 30,000 (Dependent on experience)
Summary of Job: As a Lettings Negotiator, you will be responsible for managing the rental process from initial enquiry to move-in. This includes matching tenants with suitable properties, conducting viewings, negotiating tenancy terms, and supporting both landlords and tenants throughout the letting journey. You'll also be expected to maintain accurate records and deliver outstanding customer service in a fast-paced, client-focused environment.
### Main Tasks & Responsibilities:

Customer Service & Applicant Management
Deliver a first-class service by professionally handling office, telephone, and email enquiries, ensuring all procedures are followed accurately
Manage applicants proactively, maintaining regular communication throughout the process
Ensure prospective tenants are fully informed of rental requirements before accepting holding deposits
Liaise with landlords to negotiate offers, build rapport, and maintain strong relationships
Communicate with the Property Manager regarding cleaning, maintenance, and special terms

Viewings & Property Visit Support
Conduct viewings with efficient diary planning, applicant coordination, key management, and safety compliance
Provide administrative support throughout the lettings process and carry out property visits as required
Take professional marketing photographs

Lettings Progression & Compliance
Manage pre-application forms, negotiate tenancy terms, collect holding deposits, and carry out legal checks (Right to Rent, AML, financial sanctions)
Ensure all properties are legally compliant prior to tenancy commencement
Process new lets using the lettings checklist up to completion of the Success Form
In the Administrator's absence, handle new lets including legal documents, deposit registration, and arranging inventory, check-in, and cleaning

Marketing & Business Development
Promote PS&B's services to prospective landlords professionally
Support the manager with valuations and marketing activities
Prepare and distribute marketing materials, including brochures
Execute marketing initiatives such as lead follow-ups, leaflet distribution, and landlord prospecting to grow the portfolio

Systems, Software & Compliance
Maintain ALTO (CRM) software accurately and efficiently
Assist in developing systems to improve service delivery while ensuring compliance
Stay informed of legal updates via publications and relevant training (CELA/ARLA)
Attend job-related training courses and obtain CELA/ARLA qualification within 24 months (unless already achieved)
Adhere to departmental Service Standards

UK Drivers Licence
