We are looking for a well organised and empathetic individual who has experience of administration and working with young people to join our Student Services Team. The focus of the team is on student support, working alongside the College's Guidance Team to promote and encourage student wellbeing. The successful applicant will be responsible for the administration of the College bursary fund and, in liaison with Progress and Support Tutors, the College's attendance policies.

The Post
The Student Services Department is centrally located next to the Zone which houses the Careers Department and a study/social space for students.
Alongside leading on the administration of attendance and the College bursary scheme, the Student Services Team support both students and tutors and provide the following service:
A one-stop shop for student enquiries and student problems
The ability to triage student need swiftly and sensitively at first point of contact and either to be able to deal with the need or to re-direct it to the appropriate internal support service, plus give information on external services that students can access
Working with tutors in monitoring and supporting those students in need
Administrative support for tutors, including monitoring and confirming attendance and exam results in line with GDPR requirements
Study skills and SILS referrals as well as referral to the safeguarding team as necessary
Respond to enquiries about enrichment and whole college events as well as collapsed timetable days on which other activities will be running, for example wellbeing or progression days
Lost property
First aid response to student physical and mental health
Support for whole college events including for example enrolment, year 12 induction and Social Action week
Individual colleagues within the team lead specialisms and areas of expertise, however, the whole team is able to deal with initial queries and answers related to the specialist areas of colleagues within the team.
Each member of the team works closely with a team of tutors to monitor and track the progress and wellbeing of their tutees.
In addition to the term time contract, the successful applicant will be required to work an additional five days. Payment for these additional days is included in the pro-rata salary quoted above.

Main Accountabilities:
Student Services Team Membership
to be an active presence on the Student Services Reception help desk alongside other team members
to be a visible, proactive presence within the student services reception base, engaging promptly and effectively with all members of the College community
to be able to offer initial help and guidance to students for the full range of questions they might have; often by signposting them to the best possible service within or beyond the College
to recognise and meet immediate student need through positive initial care, discussion, referral and follow up, including by owning and solving immediate student issues where it is possible and appropriate to do so including through the provision of first aid
to look for opportunities to connect together pieces of information about students that are relevant to their effective support and progression at the College and to record /forward then appropriately
to promote positive student behaviour, particularly in the vicinity of Student Services, dealing promptly with any instances of poor student behaviour, reminding students of the Code of Conduct and of College expectations and ensuring a calm and positive study environment
to make a positive difference to the lives of students at College and to College life
to take responsibility for the Student Services inbox, responding directly to enquiries received and forwarding other enquiries as appropriate
to assist tutors as required with UCAS references, meeting notes and tutee support
to attend weekly Student Services Team meetings
to carry out other duties as might be reasonably required within the scope of the Student Services Team at the direction of the Head of Student Personal Development and Support
As 16-19 Bursary Fund Co-ordinator:
to administer the 16-19 Bursary Fund for eligible students at the College
to engage with Department for Education guidance on the 16-19 Bursary Fund and Free School Meals
to prepare documentation for and publicise the 16-19 Bursary Fund to prospective and existing students
to assess applications received to determine students' eligibility for Free School Meals and the Student Bursary Fund, requiring a good working knowledge of the benefits system and being able to calculate total household income
to request and collate the required information from applicants relating to household income and other eligibility criteria, liaising with students and parents/carer
to seek advice from the Education Funding Agency (EFA) where necessary
to obtain evidence of costs/receipts from students for audit trail
to seek authorisation from the Assistant Principal, Student Progression and Support, for payments granted and discretionary payments made
to liaise with tutors about individual students
to maintain information and records relating to the 16-19 Bursary Fund, including ensuring that appropriate information is held within ProMonitor and ProSolution, liaising with the College Bursary, students and tutors as necessary
to check eligibility for Free School Meals and liaise with finance accordingly
As Attendance Officer:
To be responsible for administering the College Attendance policy, monitoring and identifying attendance issues and patterns of absence/late arrivals, including:
To manage and monitor the accurate recording of student absence, including Extended Curriculum, in accordance with College guidelines and the College attendance policy
To action, monitor and following up Stage 0-2 processes where student attendance is lower than expected
To process all absence requests and monitoring the absence inbox for absence reports from students and parents
To contact students and parents about absences, update registers and changes in stage following the College Attendance policy
To alert tutors to particular concerns which have been noted, according to College guidelines
To identify recurring patterns of students' absence that need to be drawn to the attention of tutors
To coordinate attendance watch for students on a safety plan and ensuring the daily lesson attendance checking for vulnerable students
To coordinate under 16 attendance watch for students who are under 16 at the point of entry to the College
To prepare monthly attendance updates for te Guidance Leadership Team and to work with the safeguarding and welfare officers to identify any concerns
Analysing data and producing regular and ad-hoc reports
