Summary



We are seeking a detail-oriented and organized Information Manager to join our team in the United Kingdom. Based in GB, this role is vital in managing information systems and supporting our mission to connect healthcare professionals with NHS Trusts efficiently.

Job Purpose



To provide the service with high quality performance information and analysis to support the managers in the delivery of the service. To complete regular and adhoc reports that accurately report activity, quality and outcomes in line with PHE, commissioners and the Trusts requirements. To provide a comprehensive and efficient administrative data quality service. This includes the design and implementation of new systems as well as maintenance of current systems. To maintain good working relationships with Addictions and other trust departments, outside agencies and clients referred to the service. To ensure the service is clear on the data requirements and oversee systems to ensure that data required is collected and entered accurately onto the system, within the required timeframes, ensuring compliance with PHE/NDTMS and trust data set requirement. Work with the Borough Lead, Office & Business Manager, Team Leaders and Administrators, to implement and maintain administrative and data quality systems that will support the work of the team, to advise on existing processes and work to create new ones to further this objective. Flexibility in hours is essential to ensure you are able to meet data submission deadlines and meet service requirement. Working with the administration team to support as required.

Key Responsibilities



To produce regular reports to monitor data accuracy and quality. To produce periodic reports that summarise current performance of the service, and identify trends and any gaps. To produce regular data quality reports on the various electronic clinical records systems (ePJS, NDTMS, Trust Reporting etc.) These reports should summarise information linked from a variety of sources, with manual verification and completion where necessary. Produce monthly TOPs reports indicating TOPs which are due at 4 months organised by Team Leader with Keyworker name included. Produce TOPs prior to submission to indicate whether the TOPs have been completed on ePJS for the current submission month. Produce reports covering 6 key indicators of clinical quality and last contact indicating those clients who have not been seen for a period of 28 days or greater, organised by Team Leader with Keyworker name included. To manage any Data Migration needs that arise. To produce all the above reports information which is derived from a number of different sources including the NDTMS across systems, as well as local reporting solutions To ensure the agency csv files meet all data set requirements and submit via DAMS system each month within the SLaM and PHE deadlines. To ensure all new enquiries and referrals are logged accurately and promptly onto the databases (EPJS, NDTMS), obtaining additional information from team members as required; ensuring that high quality data is provided and cleansing data where required. To provide cover to take and produce accurate minutes for the Business and other meetings as needed. As part of the Administrative team to also provide administrative and secretarial support to the Service as necessary, including reception and telephones as required. Participate in developing and implementing standards of good practice in data quality and compliance. To provide support to ensure that assessment and discharge papers are completed properly and fulfil the requirements for compliance with data quality requirements of the Trust as well as PHE/NDTMS. Offer training and support to other members of the team with data recording systems. To maintain and improve recording systems for the service needs
To carry out any other duties appropriate to the post as agreed with the Office Manager and/or Borough Lead.

Essential



Good secondary education. GCSE or equivalent in English and Maths, ideally educated to degree level. A

Must be capable of effective communication both orally and in writing. A/I

Considerable administrative and data experience. A/I

Good typing speed A/I

Good all-round knowledge of Microsoft Office application suite.

Formal training in IT systems, as well as an in-depth knowledge of underlying database concepts to support the production of custom reports. A

Good working knowledge of clinical records IT systems and the ability to learn new systems, e.g. EPJS, NDTMS systems. A/I/T.

Automate routine tasks to speed up report production.

Combine data from different sources such as CSV files and Excel workbooks.

Proficiency in the use and production of Pivot Tables for drill-down of complex data sheets.

Use multiple worksheet/workbook projects to aid the production of reports.

Use of Lookup functions to aid the production of reports. A/I

Willingness to further your excel skills as required by the service. A/I

Desirable



Secretarial qualifications

Addictions service experience

Knowledge of computer databases over and above that of an end user.

Knowledge of Microsoft Access and Interoperability with Microsoft Excel to aid in the production of reports outside what is available on current systems.

Pay: Up to 16.28 per hour
