LOCATION



This role can be based in either Aberdeen or Glasgow.

JOB PURPOSE



We're recruiting for a Bid Coordinator to work in our Bid Department, to provide a key support role to the business.

This role will focus on co-ordinating all tender activity across the business. It will involve the implementation of bid strategies, policies and procedures to facilitate tender activity, alongside the development of our in-house Bid Library.

CONTEXT



Blackhall & Powis is a trusted partner in property and project management services, working alongside renewable energy developers and network operators to drive the energy transition. Our expertise spans the entire lifecycle of energy projects, from early-stage site origination and land rights acquisition, to ongoing operational support and decommissioning.

To support our growing UK-wide and MEAA business, we are expanding our Bid Team to deliver high-quality, compliant bids and proposals across the organisation. This role will sit within the Business Operations Team, as part of the Business Development function.

JOB CHALLENGE



The role operates in a fast-paced, deadline-driven bid environment where multiple submissions may be live at any one time. The Bid Co-ordinator must balance pace, quality, and compliance while actively contributing to smarter ways of working, including the use of digital tools and AI-enabled solutions to improve efficiency, consistency, and insight across bid activity.

This will include maintaining and developing the Bid Library as a central knowledge-sharing resource, capturing lessons learned, reusable content, and best practice to support future bidding activity.

Most importantly, the role requires curiosity, confidence to challenge established processes, and the ability to work effectively in an environment where priorities evolve and innovation is encouraged alongside strong governance.

KEY TASKS/RESPONSIBILITIES WILL INCLUDE



Working across various Departments to support opportunity capture in advance of formal pursuits.

Update our ERM with details of all opportunities and key client contacts Monitor tendering platforms and identifying suitable opportunities aligned with our business objectives Monitoring the Business Development email address
Working with those who will be involved in bid and project delivery stages to ensure appropriate proposal governance, best practice and review processes are understood, embedded and followed.

Participate in storyboarding sessions, draft and final reviews to see that responses are clear, compelling and high scoring Schedule all meetings - including recording key discussion points and actions Co-ordinate sub-consultants as appropriate to support content development Suggest appropriate bid team structures for each pursuit Analyse client ITT's/RFP documents to extract key requirements (e.g Scope, Layout and Formatting requirements) Management of all tender clarifications Co-ordinate templates and content as required.
Supporting the development of our Bid Library through:

Upload of best practice responses Managing our CV library to ensure these remain relevant and refreshed with recent project experience Capturing client feedback and lessons learned to ensure continuous improvement of our processes.

ADDITIONAL RESPONSIBILITIES MAY INCLUDE:



Support creation / design of slides for bid presentations, where appropriate Develop tailored graphics / illustrations for inclusion in proposal

RELATIONSHIPS:



The Bid Co-ordinator will build and maintain effective working relationships across the organisation and with external stakeholders to support the successful delivery of bids and tenders.

Internal relationships include:



Working closely with the Associate Director of Bid Management, Business Development, and Commercial teams to coordinate bid activity and information flow Liaising with subject matter experts across various UK and MEAA Departments to gather technical, operational, financial, and legal inputs Collaborating with Directors to ensure bid messaging aligns with strategic objectives

External relationships include:



Acting as a professional point of contact with clients and procurement teams during tender processes Liaising with partners, subcontractors, and suppliers to obtain compliant and timely contributions Supporting with bid-related communications with external advisors or consultants where required
The role requires strong interpersonal skills, the ability to manage multiple stakeholders with differing priorities, and the confidence to challenge and follow up to meet bid deadlines.

KNOWLEDGE & EXPERIENCE:



Education:



Relevant higher education qualification APMP qualification and membership (desirable but not mandatory)

Experience:



Experience of bids/proposals process is desirable Experience of working with different complexity of procurement portals

Skills:



Excellent communication skills - able to clearly communicate with all stakeholders across the business, manage capacity and ask questions when needed Proficiency in relevant software / systems (MS Office Suite, CRM systems & AI) Ability to work calmly under pressure and able to work to tight deadlines A 'good eye for design' - able to produce an attractive and well-laid-out document, supported by our Branding Guidelines Good level of English and grammar with the ability to proof-read and propose edits to ensure proposals are compelling Exceptional attention to detail

Desirable Skills:



Proficiency in Adobe Creative Suite (Photoshop and InDesign)

SALARY RANGE:

25,000-35,000 dependent on experience
