The
Bid Coordinator
will provide essential administrative, organisational, and coordination support throughout the end-to-end bid process across the EMEA region.
Working closely with the Bid Manager and wider commercial team, this role ensures bid activities are delivered on time, compliant with requirements, and aligned with company brand and quality standards.
The role includes a strong focus on continuous improvement, proactively identifying, proposing, and trialling new ways of working to enhance efficiency, quality, and results. The Bid coordinator will collaborate closely with Sygna's Digital Innovation team to explore and implement improvements that benefit both the function and the wider organisation.
This is a hybrid role, requiring a minimum of three days per week in the EMEA HQ, with travel to client offices and project sites in the UK and internationally as required.
The position offers career growth potential, with the opportunity to develop bid management skills and progress into more senior roles within the commercial team.
Bid Coordination & Administration
Support the Bid Manager in coordinating the bid lifecycle from RFP receipt to submission.
Assist in managing bid schedules, timelines, and document control.
Prepare, format, and proofread proposal documents to ensure quality and consistency.
Upload, download, and manage RFP documents and version control via SharePoint.
Track bid progress and maintain accurate records in the bid tracker.
Pre-Qualification & Compliance Support
Assist with client onboarding and pre-qualification processes.
Collate health & safety, finance, HR, IT, and legal documentation for PQQ submissions.
Maintain and update the centralised PQQ library for future use.
Content & Brand Alignment
Keep case study and CV libraries up to date in coordination with marketing.
Format bid materials to align with brand guidelines and ISO 9001 standards.
Assist in preparing visuals, charts, and supporting content for proposals and presentations.
Post-Tender Activities
Support the organisation of client presentations and post-tender interviews.
Assist in gathering client feedback and lessons learned for future improvements.
Archive bid documentation in line with contractual and legal obligations.
Continuous Improvement & Innovation
Proactively identify and propose process improvements to enhance efficiency, quality, and win rates.
Trial and evaluate new methods, tools, and approaches to bid delivery.
Collaborate with the Digital Innovation team to explore and implement innovative solutions and digital enhancements for the bid process.
Sygna Methodology:
