This is a stepping stone role gearing up to become manager. Reporting to and working with the Head of Marketing, the Bid Writer and Coordinator will be responsible for managing the full bid process, from identifying opportunities and coordinating responses, to compiling and submitting compelling, compliant tenders. This role requires excellent writing, organisation and project management skills, as well as the development of a strong understanding of the company, architecture and the construction industry.
You will work closely with Directors, Project Architects, and Marketing colleagues to ensure that every submission reflects our practice's expertise, values, and design ethos.
KEY RESPONSIBILITIES
Bid Strategy & Opportunity Assessment
Monitor procurement portals and industry platforms to identify, register for and evaluate new opportunities
Assess potential bids against practice skills and experience, and alignment with the company strategic goals
Agree with directors on go/no-go decisions and bid completion resource allocation
End-to-End Bid Coordination
Register for, download, save and circulate tender information
Monitor bid portals throughout the tender process ensuring updates and clarifications are downloaded, saved, circulated and addressed
Lead and manage the bid time-line, milestones and task allocations
Track progress, deadlines, chase and assemble input
Ensure input from all involved in the bid (internal and external) is aligned with tender requirements and is integrated to present a single submission
Content Creation & Storytelling
Write, edit and refine bid narratives tailored to the specific client needs and contract opportunity, that these tell the ECD story, highlight our expertise and added value, and are backed by examples of our past projects
Set out tender input, that responses directly reflect and respond to the breakdown of each question asked
Align tone, messaging and visual presentation with ECD's brand and values
Quality Control & Compliance
Ensure bids meet all instructions, legal and contractual criteria, that we are not disqualified on a technicality
Create polished, good looking final documents, whether in our own formats or client documentation
Update and tailor CVs, case studies, credentials and supporting materials
Monitor and maintain the company memberships and registrations required for tenders e.g. Constructionline
Knowledge Management & Continuous Improvement
Maintain and update the company database of tender submission information, texts, memberships, certificates, case studies, CVs and policies.
Liaise with internal teams (Architects, Sustainability Leads, Marketing, Technical, Finance etc) to gather input and shape proposals
Review, analyse and communicate feedback to inform future submissions and improve success rates

SKILLS & EXPERIENCE
Essential
Proven experience managing bids and tenders within an architecture, construction or built environment practice
Familiarity with public sector procurement processes
Excellent written communication and editing skills with attention to detail
Strong project management and time management abilities
Good MS Office and computer skills
Ability to work under pressure and manage multiple deadlines simultaneously
Desirable
Familiarity with public sector procurement frameworks
Understanding of sustainability, retrofit, and net-zero design principles
Experience using document control systems
Adobe InDesign, Photoshop & Illustrator

This is a flexible/hybrid working role for which at least two days a week would be in the office; other work days can be undertaken from home. The expectation is that this role serves as a stepping stone toward a future position as Bid Manager.
