Hails Fulfilment is a fast-growing 3PL based in Chadderton, working with fashion, sports and omnichannel brands. We're specialists in fulfilment and returns.

We're building a culture of transparency, ownership, and growth. As we win new contracts and expand our services, we're looking for a detail-driven Bookkeeper to join our team and grow with us.

The Role

This is a full-time role focused on bookkeeping and finance administration, with the opportunity to expand into general admin and customer service support as the company grows.

You'll be the backbone of our finance function, ensuring our clients are billed correctly, our suppliers are paid on time, and our weekly reporting is accurate. Over time, you'll also play a part in client support and operations administration.

Key Responsibilities



Bookkeeping (Core):

Raise and send client invoices, applying fulfilment charge matrices (pick & pack, returns, storage, courier margin). Process supplier invoices and match against payments. Complete weekly bank reconciliations in Xero. Chase overdue payments and manage aged debtors reporting. Submit VAT returns and payroll each month/quarter. Handle courier claims end-to-end.

Administration & Customer Service (Growth Areas):

Assist with contracts, HR onboarding docs, and supplier admin. Support customer service queries via Gorgias (ticket system). Liaise with clients on finance-related queries in a professional, proactive manner. Produce weekly reports (cash flow, client GP, storage utilisation, courier claims).

About You



We're looking for someone who:

Has proven bookkeeping experience (Xero preferred). Is highly organised, accurate, and detail-oriented. Communicates clearly and professionally. Is ambitious and excited by the chance to grow into a broader finance/admin role. Preferably has experience in logistics, e-commerce, or 3PL bookkeeping.

Package



28,000 - 32,000 per year depending on experience. Full-time, office-based at our Chadderton warehouse. Training and progression opportunities as we grow.
