Job Description


We are looking for a BOOKKEEPER/ Assistant Estate Manager to join our Luxury Apartments building to support our Accounting and Administrative function.
The ideal candidate for this role will have previous accounting and administrative experience from the hospitality or building management industry.
We are looking for someone who is Level 3 or Level 4 AAT qualified or has a degree in Accounting and Finance as well as strong accounting and IT skills including MS Word & Excel and copy/audio typing abilities. Experience with accounting software is a requirement and you should also have a high level of communication skills, both written and verbal.

Responsibilities

  • Being the first professional point of contact to all incoming calls from Resident\'s enquiries and concerns.
  • Produce all correspondence, documents and reports to agreed deadlines.
  • Maintain and update in-house database systems.
  • Deal appropriately with the mail and urgent messages, items for signature and confidential information.
  • Maintain effective systems for filing, information retrieval, and for the reproduction of documents when required.
  • Generate invoices as and when required (i.e. service charges).
  • Log, copy and file all supplier invoices received. Organise payment of such invoices and raise disbursement invoices if required.
  • Reconciliation of company accounts.
  • Preparation of monthly expenditure sheets.
  • Preparation of end of year accounts with the accountants.
  • To produce reports and letters as appropriate, including initiating correspondence, devising layouts and standard format and ensuring appropriate attachments are enclosed.
  • Build and maintain good relationships both internally and externally, communicating professionally and effectively at all times.
  • Arrange meetings and other events for the company, including booking meeting rooms, equipment etc.
  • Liaise with other colleagues within the office if necessary to ensure that work is completed to given deadlines and to a high standard.
  • Attend Board meetings as well as the Annual General Meeting and take minutes.
  • Prepare relevant documentation for Flat sales (LPE1)
  • Prepare relevant documentation for major projects (Section 20)
  • Carry out inspections of the property for general risk assessments.
  • Review and approve RAMS of contractors working on site.
  • Concierge Staff: recording holidays, recording sickness, arranging cover and providing monthly payroll.
Desired Criteria:
  • Degree in Accounting and Finance, or AAT qualified
  • Previous Accounting and Administrative experience
  • Strong IT, Word and Excel skills
  • Experience with Accounting software and strong written and verbal communication skills
