About Downes Estate:
Downes Estate is a historic, privately owned estate in the heart of Devon. With a mix of agricultural, residential and heritage interests, the estate office plays a vital role in managing daily operations, finance and communications across all aspects of the estate.
Role Summary:
We are seeking an experienced and organised part-time Bookkeeper/Administrator to join our small, friendly team. You will be working directly with the owners. This is a key role in the day-to-day running of the estate office, with responsibility for financial management, administration and maintaining effective communication with tenants, contractors and stakeholders.
Key Responsibilities:
Maintain accurate financial records using digital accounting software
Manage day-to-day bookkeeping including invoicing, bank reconciliations and accounts payable/receivable
Prepare financial reports and budgets
Ensure compliance with all estate lettings
Ensure compliance with HMRC and statutory requirements (VAT returns, etc.)
Support the owners with administrative duties such as correspondence, filing, diary management, minute taking and record-keeping
Liaise with tenants, suppliers, contractors and professional advisors as required
Assist with document preparation and project support (e.g. property maintenance records)
Assist with the management of social media
Maintain confidentiality and ensure sensitive information is handled appropriately
Essential Skills and Experience:
Proven experience in a similar bookkeeping and administrative role
Strong knowledge of digital accounting software
High level of proficiency in MS Office (especially Excel, Word and Outlook)
Excellent organisational and communication skills, both written and verbal
Ability to manage multiple tasks and meet deadlines with minimal supervision
Discretion, reliability and attention to detail
