We are passionate about early years education and are looking for an organised and reliable Administrative Assistant to support our team and ensure the smooth running of our nursery operations.
Job Summary:
The Administrative Assistant will be the first point of contact for families, visitors, and staff. This role involves handling day-to-day administrative tasks, supporting nursery staff with operational needs, and ensuring excellent communication between the nursery and parents.
Key Responsibilities:
Greet parents, children, and visitors in a warm, friendly, and professional manner
Answer phone calls, respond to emails, and manage general nursery correspondence
Maintain accurate records of children's attendance, registration, and medical information
Support with invoicing, fee collection, funding and financial record keeping
Order and manage nursery supplies and stationery
Maintain filing systems (digital and paper-based)
Assist with scheduling meetings, staff rotas, and training sessions
Support the Management team with administrative duties as needed
Ensure all sensitive information is handled confidentially and in line with GDPR regulations
Help maintain a clean and welcoming front-desk/reception area
Skills & Requirements:
Previous experience in business administrative or business support role (ideally in a childcare or education setting)
Excellent communication, written, and verbal, and interpersonal skills
Strong organisational and time management abilities
proficiency in Microsoft Office (Word, Excel, Outlook) and nursery management systems (training provided)
Ability to multitask and remain calm under pressure
High level of discretion and professionalism
A friendly, caring attitude and a genuine interest in supporting young children and families
Desirable:
Experience working in a nursery or school setting
Knowledge of safeguarding and health and safety procedures
First aid or child protection training (or willingness to undertake)
Knowledge of nursery funding, Ofsted regulations, or Early Years Statutory Framework.
Familiarity with nursery management software
