Job Description

Wilson Tool International provides the most comprehensive line of tooling systems and accessories for the Punching and Bending markets. At our Europe head office located in South Marston, Swindon, this role will have the opportunity to gain a wealth of knowledge and experience in a range of administration tasks.

The apprentice will develop transferable skills through supporting our customer service, HR and sales/marketing teams on a wide variety of tasks. This is a unique position that will work with internal and external stakeholders across the Company, reporting to the UK Sales Desk Team Leader.

This role would be working on our day shift (8am until 4pm Monday to Thursday and 8am until 3pm on Fridays). One day per week would be based at New College Swindon completing a Business Administration Level 3 Apprenticeship.

Key accountabilities



Customer Service - support our customers, sales/marketing and sales desk teams by:



Tracking shipments daily, identifying problems and providing updates to customers Arranging collections where required Answering the phone when indirect calls Following up late shipments with customers and sales team Conducting compliance checks on new customers Creating and updating customer information on our ERP system (SAP) Assisting with managing the sales inbox and workflow Completing and distributing reports such as SORs, zero balance, new products, league tables, and distributor sales Distributing weekly timetable for sales desk team Recording KPI's for sales desk team Learning to convert quotes to orders for German team Sending delivery notes to distributors as required

HR - support our employees and HR team by:



Coordinating weekly employee timesheets Creating and distributing employee communications such as birthdays, service dates and newsletters - updating TV screens as required Coordinating birthday vouchers and long service milestone cards Setting up new employees on HR systems Booking holidays onto the system Distributing weekly timetable for leadership team Creating and maintaining employee photo board Administering Occupational Health programme and eye tests Ordering uniform and safety boots for employees Scanning in personnel files to digital system Coordinating student work experience placements

General - provide general support by:



Social event coordination, including annual supplier raffle Assisting with project administration as required Completing driver license checks and audits Arranging transfers, hotels, lunches and agendas for visitors to site (employees or customers) Completing monthly reporting to ONS

Person Specification



Minimum GCSE Grade 4 in English and Maths. Previous experience and an interest in administration. A self-starter who is able to work independently, as well as part of a team. Highly organised, with ability to prioritise and deal with fluctuating workloads. Excellent interpersonal skills and ability to communicate. Ability to apply professionalism, tact and confidentiality. High attention to detail accuracy. Experience using Microsoft packages such as Outlook, Word and Excel preferable.
