Full-Time, Monday-Friday, 40 hours/week (08:30-17:00 or similar)We're looking for a confident, detail driven Business Administrator & Marketing Officer to join our central team in Wakefield - playing a vital role in keeping our group of nurseries across South and West Yorkshire running smoothly.
Working closely with our Operations Manager, Office Manager, and in house accountants, you'll take ownership of key administrative and finance tasks, while also supporting our internal marketing activities. This role is perfect for someone who thrives on structure, accuracy, and enjoys helping teams work efficiently and compliantly.
What you'll be responsible for
Invoicing and Credit Control
Generate weekly and monthly invoices using Kindersoft
Manage parent accounts, including chasing outstanding payments
Early Years Funding Administration
Maintain accurate records for EEF, EYPP, and DAF funding
Liaise with local authorities to ensure accurate and timely submissions
Child Bookings and Staffing
Process booking forms and maintain up to date occupancy records
Plan weekly staff rotas in line with child numbers and ratio requirements
Parent and Team Communication
Handle queries via phone and email with professionalism and clarity
Liaise with nursery teams to support day-to-day operations
Payroll Support and Office Administration
Collect timesheet data and prepare for payroll processing
Manage stock orders, supplier contracts, and general office duties
Marketing Support
Manage and update nursery listings on platforms such as Day Nurseries, Family Information Services, and other relevant directories
Support and schedule regular content for social media platforms, ensuring consistent branding and messaging across sites
Assist with the creation and distribution of leaflets, posters, banners, and other promotional materials
Help plan and deliver local marketing campaigns to boost awareness and drive enquiries
Support wider operational projects involving brand visibility and internal communications
Monitor and respond to online enquiries or reviews in a professional and timely manner
What we're looking for
Minimum 2 years' experience in admin, finance, or office support
Proficient in Microsoft Excel and Word
Strong attention to detail, time management, and organisational skills
Clear and confident written and verbal communication
Able to handle sensitive and confidential information with discretion
Comfortable working independently and as part of a wider team
Additional experience that would be beneficial
Experience in a childcare or education setting
Familiarity with Kindersoft or other early years management systems
Understanding of early years funding processes
Basic knowledge of payroll or finance
Experience in marketing or content creation
