We are seeking a proactive, highly organised, and people-focused Business & Operations Coordinator to oversee all field operations, tenant-facing activities, and external relationship management across our property portfolio.
This role acts as the bridge between the UK field operations and the remote admin team -- ensuring high-quality service delivery, efficient property onboarding, smooth tenant move-ins, and strong pipeline generation through partnerships, community engagement, and social media activity.
You will be the in-person representative of the business, responsible for inspections, move-ins, viewings, property condition reporting, supplier relationships, and partnership development. You will also manage social media content creation and coordinate sponsorship and lead-generation partnerships.
Key Responsibilities
Field Operations (Primary Responsibility)
Property Inspections
Carry out routine, quarterly, and pre-move-out inspections; complete reports; upload images; escalate issues.
Property Viewings
Conduct property viewings, manage applicant questions, collect details, and update the team on outcomes.
Property Onboarding (Field Side)
Attend new property handovers, capture property media, record meter readings, verify compliance documentation, and ensure units are ready for listing.
Supplier & Contractor Relationships
Meet contractors on-site when required, coordinate access, and support contractor partnerships.
Void Turnaround Supervision
Ensure properties are cleaned, furnished, maintained, and prepared for re-listing.
Marketing & Social Media
Instagram Management (Primary Lead)
Create content, upload posts, respond to messages, and support brand visibility.
Content Capture
Take property photos, videos, before/after media, and content for marketing campaigns.
Social Media Coordination
Liaise with the internal admin team for captioning, scheduling, and content organisation.
Partnerships, Sponsorships & Lead Generation
Sponsorship Partner Management
Manage relationships with student societies and partnership groups; coordinate events and visibility activities.
Landlord Lead Partnerships
Maintain the relationship with the mortgage advisor, share landlord leads, and collaborate on content.
Sourcing Partner Relationships
Build and maintain relationships with sourcing agents who can fill properties; update source trackers; nurture long-term partnerships.
Networking & Outreach
Attend local events, meet partners, and build new business relationships within Bristol and surrounding areas.
Operations & Team Communication
Field-Admin Bridge Role
Communicate inspection outcomes, viewing results, onboarding details, and maintenance findings to the admin team promptly.
Daily Communication with Admin Team
Ensure all required documents and property media are sent to the Property Operations Executive and Admin Assistant.
Weekly Operations Alignment
Contribute to weekly operations meetings with updates on field activities, risks, voids, and marketing outcomes.
SOP Compliance (Field Side)
Follow and refine SOPs for viewings, inspections, onboarding, and content management.
Skills & Qualifications
Strong interpersonal and communication skills.
Highly organised with excellent time management.
Confident working independently in the field.
Experience in property operations, lettings, customer service, or similar roles (preferred).
Strong content creation skills with a good eye for branding and presentation.
Comfortable coordinating with remote admin teams.
Proficiency with Google Workspace, WhatsApp, social media platforms, and basic CRM tools.
Ability to build and maintain partnerships and external relationships confidently.
Preferred Qualifications
Experience in UK lettings, hospitality, or field operations.
Experience handling tenant-facing situations and property-related tasks.
Previous exposure to social media content creation or brand representation.
Strong organisational and client-facing communication background.
